Job Overview
We are seeking a highly motivated and experienced individual to join our Radiology Department as an Appointments Officer.
This key role involves managing and booking outpatient appointments across multiple Trust sites for a range of specialties, and facilitating the smooth running of the administrative process within Radiology. As the first point of contact for many patients, you will play a vital part in supporting clinical teams and ensuring the smooth running of radiology services. Your responsibilities will include coordinating appointments to help meet Trust performance targets, while maintaining a high standard of service for patients and liaising professionally with internal and external stakeholders.
The post holder will be required to book patient appointments, answer telephone and email queries and also support the department by covering the reception desks if required.

Main Duties Of The Role Will Be
* Arranging appointments over the telephone with patients
* Booking patient appointments from waiting lists
* Rescheduling and cancelling appointments at short notice, when required
* Rescheduling of appointments due to annual leave/other commitments
* Liaising with clinical admin
* Covering the reception areas on an ad hoc basis
Detailed Job Description And Main Responsibilities
* Making appointments for patients for general and specialised x‑ray examinations, general and Gynae Ultrasound examinations, MRI, CT and Interventional examinations in the Radiology Department, checking patients on EPIC and updating/amending details as necessary, working on ICE checking bloods, liaising with the nursing staff and Consultant Radiologists when necessary.
* Explaining appropriate instructions regarding preparation before ultrasound or special examinations.
* Making appointments by letter or by telephone.
* Communicating with other health care workers eg. doctors, medical records personnel and others on a daily basis.
* Receiving patients at Radiology Reception if required and booking them in.
* Accurately recording patient information on the Radiology Information System (EPIC).
* Providing a caring service to patients at all times by being friendly and approachable.
* Receiving and dealing with telephone enquiries and liaising with any other staff/departments as required.
* Ensuring patient confidentiality is observed and maintained in respect of all patient information.
* Participating in weekend and out‑of‑hours duties.
* Carrying out duties at other sites within the Trust as required on an occasional basis.
* Carrying out any other duties relevant to the post as requested by the Radiology Bookings Manager or Radiology Service Manager.
* Ability to cover reception desk as and when needed on short notice to assist with cover on an Ad hoc basis.
* Assisting the secretary team with day‑to‑day tasks on an Ad hoc basis.
