Location: Ferndown

Salary: £45,000- £50,000

Job Purpose

To coordinate and support the effective management of facilities, maintenance, statutory compliance and health & safety across the Air Bearings manufacturing site.

The role ensures the site operates safely, efficiently and in full compliance with legal and company requirements, while maintaining high standards of property upkeep and operational continuity.

Key Responsibilities

1. Facilities & Maintenance Coordination

* Coordinate reactive maintenance across the site, ensuring issues are prioritised appropriately and resolved in a timely manner.
* Escalate and manage business-critical issues to minimise operational disruption, financial loss or risk under Health & Safety legislation.
* Proactively manage planned preventative maintenance schedules.
* Maintain accurate records of maintenance works, compliance certificates and contractor activity.
* Ensure all property and facilities remain compliant with statutory requirements including (but not limited to):
* Fixed wire testing
* Fire risk assessments
* Asbestos management
* Emergency lighting
* Fire alarms
* PAT testing
* Fire extinguishers
* Monitor compliance deadlines and ensure inspections and remedial works are completed on time.
* Maintain and update a central facilities and compliance register.

2. Contractor & Supplier Management

* Maintain an approved contractor database.
* Ensure all contractors provide up-to-date insurance, qualifications and relevant certifications before commencing work.
* Obtain and review Risk Assessments and Method Statements (RAMS) for all works carried out on site.
* Ensure contractors adhere to site safety rules and permit-to-work systems where required.
* Monitor contractor performance and value for money.
* Publish and maintain an up-to-date emergency contact list for out-of-hours support.

3. Utilities & Cost Control

* Monitor electricity, gas and water usage to ensure cost efficiency.
* Assist in managing facilities budgets including repairs, maintenance and utilities.
* Process facilities-related invoices in line with company financial controls.
* Support the preparation of annual maintenance and utilities budgets.
* Ensure all agreed works remain within approved budget limits.

4. Health & Safety Responsibilities

* Assist in administering and maintaining all Health & Safety documentation.
* Maintain accurate records of:
* Workplace accidents
* Incidents
* Near misses
* Ensure all accidents, injuries and near-misses are recorded in the accident book.
* Support investigations into accidents and ensure corrective actions are implemented.
* Coordinate statutory and safety-related training where required (e.g. fire marshal, first aid, manual handling).
* Maintain a clean and safe working environment in line with the company's Health & Safety Policy.
* Ensure all work carried out on site complies with internal Health & Safety standards and external regulatory requirements.
* Support the implementation and review of risk assessments.
* Be familiar with emergency and security procedures, including fire drills.
* Support health surveillance coordination where required and ensure follow-up actions are completed.
* Promote a culture of safe working practices across the manufacturing site.
* Keep up to date with changes in Health & Safety legislation and best practice.

5. Reporting & Compliance

* Produce regular reports on:
* Maintenance activity
* Compliance status
* Fire safety checks
* Utilities usage
* Ensure compliance records are audit-ready at all times.
* Support internal and external audits relating to facilities and safety.

6. Contribution to the Business

* Actively support continuous improvement initiatives within the manufacturing environment.
* Work collaboratively with production, engineering and management teams to ensure minimal disruption to operations.
* Uphold Air Bearings' core values, policies and code of conduct at all times.
* Maintain confidentiality of commercially sensitive information.
* Undertake any other reasonable duties within the scope of the role.

Person Specification

Experience & Knowledge

Essential:

* Previous experience in a Facilities, Maintenance or Health & Safety coordination role (preferably within manufacturing or industrial environment).
* Working knowledge of Health & Safety legislation.
* Experience managing contractors and compliance documentation.
* Strong administrative and record-keeping skills.

Desirable:

* IOSH or NEBOSH qualification.
* Experience in utilities monitoring and budget control.

* Strong attention to detail, particularly regarding compliance documentation.
* Ability to prioritise and manage multiple tasks.
* Confident communication skills across all levels of the business.

Physical Requirements

* Ability to access all areas of a manufacturing site.
* Occasional requirement to attend other company sites if applicable.
