Operating within the dynamic and fast-paced environment of the SEC, the Logistics Supervisor plays a crucial role in overseeing the logistical aspects of event planning and execution. This multifaceted position involves coordinating the transportation, storage, and distribution of equipment, materials, and resources essential for the successful staging of events. The Logistics Supervisor collaborates closely with various teams, including event planners, exhibitors, and venue staff, to ensure that all logistical elements align with the specific requirements of each event. This includes managing the timely delivery of event materials, coordinating set-up and dismantling procedures, and optimising space utilisation within the venue. The supervisor must also navigate potential challenges such as last-minute changes, ensuring adaptability and problem-solving skills are paramount. Ultimately, the Logistics Supervisor plays a pivotal role in creating an efficient and organised environment that contributes to the overall success of live events, conferences, and exhibitions.Assistant Logistics Manager - The RoleLogistical Planning and Coordination: Develop and implement comprehensive logistics plans for live events, conferences, and exhibitions. Coordinate with event planners, exhibitors, and internal teams to understand specific logistical requirements. Ensure efficient allocation and utilisation of venue space for storage and transportation needs. Material Management: Oversee the procurement, transportation, and distribution of event materials, including signage, equipment, and promotional items. Maintain accurate inventory records and implement inventory control measures to prevent discrepancies. Transportation and Distribution: Coordinate the timely and secure transportation of event materials to and from the venue. Liaise with external transport providers, ensuring reliable and cost-effective solutions. Implement effective distribution strategies to meet the diverse needs of different events. Set-Up and Dismantling Coordination: Supervise the set-up and dismantling processes, ensuring adherence to event timelines. Collaborate with on-site teams and contractors to facilitate smooth transitions between event phases. Address and resolve any logistical issues that may arise during set-up and dismantling. Communication and Collaboration: Maintain open and effective communication channels with internal teams, exhibitors, and external stakeholders. Collaborate with event planners to understand unique requirements and provide logistical support accordingly. Act as a point of contact for logistical inquiries and emergencies during events. Problem-Solving and Adaptability: Proactively identify potential logistical challenges and develop contingency plans. Resolve unexpected issues, such as last-minute changes or logistical hurdles, with a solution-oriented approach. Demonstrate adaptability in response to evolving event requirements. Health and Safety Compliance: Ensure compliance with health and safety regulations in all logistical activities. Implement and enforce safety protocols for the transportation, storage, and handling of materials. Staff Supervision and Development: Lead and supervise logistics staff, providing guidance and support. Facilitate training programs to enhance the skills and knowledge of the logistics team. Budget Management: Collaborate with the finance department to develop and manage budgets for logistical operations. Identify cost-saving opportunities without compromising the quality and efficiency of logistics services. Performance Evaluation and Reporting: Establish key performance indicators (KPIs) for logistics operations and regularly assess performance against these metrics. Generate comprehensive reports detailing logistical activities, successes, and areas for improvement. Demonstrated success in managing logistics for diverse events, showcasing adaptability to varying requirements. Knowledge: In-depth understanding of logistics operations, including transportation, storage, and distribution. Familiarity with the technical requirements of live events, conferences, and exhibitions. Communication Skills: Excellent communication and interpersonal skills to collaborate effectively with event planners, exhibitors, and internal teams. Ability to convey complex logistical information clearly and concisely. Organisational Skills: Exceptional organisational abilities with a keen eye for detail, ensuring all logistics are meticulously planned and executed. Proven capability to manage multiple tasks simultaneously in a fast-paced environment. Problem-Solving: Strong problem-solving skills, particularly in handling unexpected challenges and last-minute changes. Ability to think on their feet and make quick, effective decisions to ensure the smooth flow of events. Leadership: Leadership qualities to oversee and motivate a team of logistics staff, fostering a collaborative and efficient working environment. Proven experience in managing and optimizing resources to enhance operational efficiency. Customer Focus: A customer-centric approach with the ability to understand and meet the unique requirements of diverse events and exhibitors. Strong commitment to providing a positive and professional experience for clients. Technical Proficiency: Proficient in relevant logistics software and systems. Familiarity with technical equipment commonly used in live events and exhibitions. Flexibility: Willingness to work irregular hours, including evenings and weekends, to accommodate the varied schedules of events. Ability to adapt to changing priorities and handle high-pressure situations with composure.
