As an Executive Personal Assistant, you’ll play a pivotal role in enabling our senior leaders to deliver outstanding care and high-quality services across Diagnostics & Secondary Care in London. You’ll be the calm, organised hub at the centre of a fast-paced, multi‑site environment—anticipating needs, strengthening communication, and ensuring our leaders are always fully prepared to make informed decisions. By championing digital tools (AI etc…), you’ll help modernise and streamline how we work, reducing complexity and increasing efficiency across teams. Your visible presence, warm professionalism, and ability to connect people and information will help create a smooth, joined-up experience for colleagues, visitors and partners. Key Responsibilities Proactively manage complex diaries, meetings and travel, ensuring executives are fully prepared with pre‑reads, agendas, minutes and action tracking. Maintain structured systems to prioritise workload, avoid clashes and keep leaders aligned and informed. Prepare, format and quality‑check documents, presentations and briefs using Microsoft 365 and AI tools. Build strong, trusted relationships across teams and external partners, representing leaders with professionalism and discretion. Champion digital adoption, introducing smarter workflows through Copilot, Teams, SharePoint. Streamline processes, maintain high‑quality digital record‑keeping and reduce duplication across teams. Provide a consistent on‑site presence across hospital locations, supporting events (setting up AV), leadership sessions and VIP hosting. Collaborate closely with the PA community to share best practice, provide seamless cover and contribute to continuous improvement. Support governance meetings, Sales & Marketing committees, operational exec meetings and external business events including consultant engagement. Key Skills / Qualifications: Essential Proven PA/EA experience supporting senior leaders in a fast-paced, multi-site environment. Expertise in proactive diary and meeting management. Highly organised, self‑sufficient and able to work with minimal supervision. Strong digital capability across Microsoft 365 packages. Comfortable using AI tools and automation platforms. Excellent communication, relationship‑building and influencing skills. Exceptional attention to detail and ability to manage multiple priorities. Professional, discreet, resilient and calm under pressure. Experience with event management, communications or project coordination. Ability to balance hybrid working with regular on‑site presence.
