Job Purpose
To provide efficient coordination and administrative support to the Catering Operations Management and their external stakeholders to ensure that catering operational delivery, processes and workflows run effectively and to agreed deadlines across R&A’s professional championships.
Key Accountabilities
* As directed by the leadership, plan and deliver key catering projects escalating complex issues to Catering Operations Manager if necessary. Responsible for setting project plans and timescales, budget tracking, liaison with internal and external stakeholders as required to ensure project delivery within the agreed tolerances.
* Responsible for the administrative and operational delivery of The R&A’s Water Project initiative at professional championships, escalating complex issues to the senior team when necessary. Working with various internal and external stakeholders, including patrons, to set and deliver project plans and timescales and to act as the key point of contact during planning and onsite delivery. Liaise with key contractors and partners regarding operational project delivery ensuring key milestones and actions are tracked and logged appropriately.
* Fully service all catering/design project meetings including preparing agendas/documents, minute taking, coordinating actions and distributing information, ensuring meetings run successfully. Manage and maintain all catering documentation following the departmental processes, ensuring correct filing folders are used and kept up to date. Research, analyse and produce written reports on a variety of topics for professional championships, as required, to assist the department with benchmarking against other similar events.
* Prepare reports and proposal documents related to catering, distributing to the wider team/Catering Operations Manager as appropriate, to aid in their decision‑making.

* Track pre‑determined project budgets, ensuring spend is on track and budgets not exceeded.
Expertise
* Proficient knowledge of Microsoft Office, including Word, Excel, Outlook and PowerPoint.
* Desirable to have experience working in a major event environment at a greenfield site.
* Practical experience of working within the catering/hospitality industry.
* Experience in pre‑planning elements of an event including site layouts and detailed floor plans.
* Strong relationship management skills.
* Proven track record of tracking budgets.
* Experience in designing floorplans for Kitchens and front of house areas.
* Scottish National 5 qualifications in English and Maths, or equivalent.
