KEY RESPONSIBILITIES AND TASKS
HR administration & employee lifecycle
* Act as the first point of contact for routine HR queries, escalating matters appropriately
* Manage end-to-end HR administration for starters, movers and leavers
* Issue contracts, offer letters, variations and leaver documentation accurately and on time
* Ensure right-to-work checks and personnel records are complete and compliant
* Maintain Bamboo as the single source of truth for all employee data
* Update records relating to absence, probation, performance and disciplinary processes
* Support employees and managers in using Bamboo confidently
Payroll & benefits administration
* Prepare accurate monthly payroll data for review by the Head of HR and Finance
* Ensure changes to salary, pensions, sick pay and other deductions are correctly recorded
* Administer employee benefits (Healthshield, AXA, EAP etc.), including joiners and leavers
* Respond to employee queries relating to pay, benefits and HR documentation
Recruitment & onboarding support
* Support recruitment administration, including advertising roles, coordinating interviews and managing candidate records
* Ensure all applicant data is held securely and in line with GDPR
* Coordinate induction processes and ensure all onboarding steps are completed
* Support learning events and ensure training records are maintained
Office coordination & leadership support
* Take ownership of day-to-day office administration, including:
o Ordering stationery and office supplies
o Coordinating meeting rooms and facilities
o Acting as a central point of contact for office-related queries
* Process CEO and Board expenses, ensuring accuracy, timely submission and adherence to internal guidelines
* Support Senior Leadership Team meetings with logistics and administration where required
Employee Communication
* Take ownership of Town Hall meetings, including:
o Coordinating fortnightly online Town Halls
o Organising quarterly face-to-face Town Halls, including logistics, venues and materials
o Supporting agenda planning, communications and follow-up actions
* Support wider engagement activities, team events and charity initiatives
Employee engagement & wellbeing
* With oversight and training from the Head of HR:
o Coordinate the monthly employee newsletter
o Support and administer the quarterly employee engagement survey, including collation of results
* Act as a Health & Safety patron, supporting awareness, documentation and good practice across the business
What we're looking for
* Previous experience in an HR Admin or HR Assistant role
* CIPD Level 3 (or working towards) would be desirable
* Confident in managing core HR processes and handling
first-line employee queries
* Highly organised, with
strong attention to detail and the ability to prioritise effectively
* Comfortable balancing HR administration, office coordination and engagement activity
* Professional, approachable and able to handle sensitive information with discretion
* Keen to learn, grow and develop within HR
* Willing to be based in the Birmingham Head Office three days per week
