The Specialty Secretary forms the operational link between the Consultant Team, the service and the patient and will be expected to undertake the following key skills and competencies:
* Develop an in‑depth knowledge of all aspects of the Consultant’s role, liaising with professional bodies where medical staff have additional roles and special interests.
* Apply knowledge of patient administration systems and Microsoft Office products for updating/extracting patient information to support the patient pathway, as appropriate.
* Exercise independent judgement and initiative as a discerning secretarial professional.
* Communicate effectively at all levels of the organisation, dealing with external clinical stakeholders, patients and their relatives with tact, sensitivity and discretion.
* Act as a team player, cross‑cover colleagues, mentor new staff and supervise junior admin staff where appropriate.
Provide a comprehensive service to the consultants and specialist teams, with the minimum of supervision.
Organise your own workload and coordinate activities with other medical secretaries to ensure an efficient service.
Show initiative commensurate with the role and maintain confidentiality at all times.
Ensure cross‑cover working where possible.

Key responsibilities include:
* Manage and maintain 18‑week pathways including tertiary referrals to external trusts, ensuring accurate recording on the PAS system.
* Track referrals to ensure patients are reviewed promptly.
* Arrange follow‑up appointments in conjunction with the Referral to Treat (RTT) patient pathway.
* Mentor, train and supervise relevant staff as required.
* Handle annual leave requests and sickness absence return‑to‑work interviews.
* Support consultants in non‑clinical activities by preparing presentation documents, arranging meetings, setting agenda, circulating supporting papers, and taking minutes.
* Ensure appropriate personnel are informed of consultant annual leave or study leave.
* Communicate consultant leave to junior doctors as it could affect service.
* Organise and maintain consultant’s admissions.
* Cancel and add patients to the waiting list, update lists and contact patients as appropriate.
* Liaise with the waiting list office, anaesthetic department and ward.
* Prepare and amend theatre lists appropriately.
* Type dictation from audio transcription of clinical correspondence and documentation.
* Type discharge summaries as required.
* Maintain a track of inpatient referrals to ensure timely reviews.
* Check against clinical letters to ensure appropriate follow‑up arrangements or investigations are in place.
* Rectify any discrepancies.
