This post is fixed term/secondment until ends 31st March 2027 due to Secondment

An opportunity to join the Community Drug and Alcohol Team covering NPT and Swansea. The post holder will provide comprehensive administrative support to the CDAT teams and will work as part of the admin team covering 3 bases, which will involve reception cover at some sites. General administration work includes: providing administrative support, arranging meetings, coordinating information, minute taking, data entry, generating daily work lists for administration staff and carrying out regular routine audits, as well as assisting in the prescription process.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.


Main duties of the job

* Communicate and liaise with staff and members of partner organisations.
* Provide key supporting role in the effective running of the team, including the management of resources as part of core duties.
* Adopt a flexible approach when the needs of the service require.
* Provide support to business and project processes.
* Produce work to deadlines whilst ensuring compliance with health board policies.
* Provide support to staff within the team and office.
* Provision of records and extracts (manual and electronic) for completion of audits.
* Utilise patient administration systems and various Health Board digital systems and platforms.
* Make judgements involving straightforward job‑related facts or situations.

Person Specification


Qualifications and Knowledge

* Educated to Vocational Level 3 in a relevant subject or able to demonstrate the equivalent level of knowledge, skills and experience.
* IT Qualifications.


Experience

* Demonstrate experience in an administrative role.
* Experience of communicating with all levels of professional staff and the public.
* Experience of dealing with confidentiality, sensitive data, appropriate maintenance and storage of records.
* Experience of transcribing and minute taking.
* Working experience of Microsoft Office Suite.
* Working in an NHS environment.


Aptitude and Abilities

* Ability to work on own initiative and manage own workload.
* Good written and verbal communication skills.
* Ability to work as part of a team and proven experience.
* Knowledge of Health Board Computer Systems.
