Role profile

Osborne Clarke's (OC's) Sales & Marketing (S&M) team is seeking a Bids Exec/Senior Exec to join our Bristol office. The successful candidate will work closely with the Bids Managers and Head of Bids to drive forward best practice processes and support to win work. This role requires a good communicator who can multi-task, work at pace, and deal with competing priorities.

You will be self-organised and confident in suggesting new ideas for processes, implementing them (with guidance from the wider team), and challenging existing ways of working. We are looking for someone with proven experience in effectively project managing multiple tasks with competing priorities, whilst proactively managing expectations with colleagues of varying seniority.

Osborne Clarke's Bids team is on a journey to establish itself as a 'centre of excellence'. It's an exciting time to join and be part of this evolution. Nurturing and upskilling are a given - it's a small, close-knit team of two managers and a Head of that works collaboratively.

Key Responsibilities

1. Opportunity logging
* Maintain the team's bids tracker, capacity tracker, and bids log, ensuring information is accurate and up to date.
* Provide regular updates to stakeholder groups within the business on a daily and weekly basis.
* Run regular management information reports.
1. Project workstreams
* Support the Bids managers and Head of bids in delivering project workstreams, aiming for continual improvement.
* Lead your own project workstreams with support from the Head of bids and input from the wider team as necessary.
1. Content library
* Maintain the firm's Bids Library, conducting quarterly reviews and updates.
* Extract and store relevant information in the Bids Library after each bid.
* Collaborate with internal stakeholders to ensure content accuracy and relevance.
* Identify improvements and implement them.
1. Support on live bids
* Manage the lifecycle of bid opportunities, ensuring tasks are completed efficiently and on time, with strategic support from a Bids manager / Head of bids.
* Communicate confidently with key stakeholders across the business.
* Format, edit, and proofread documents.

What are we looking for?

This is an integral role as part of the Bids team's 'centre of excellence' journey. You'll collaborate with various teams to position the firm to win new work.

The role will suit someone with the following:

* A basic understanding of the bids process and its purpose within the firm.
* Ability to work proactively and independently to high standards, with problem-solving skills and awareness to escalate issues.
* Excellent project management skills and experience managing multiple deadlines with strong organisational skills and attention to detail.
* Proven ability to meet deadlines and be a trusted contact for cross-departmental teams.
* A proactive approach, anticipating challenges and mitigating risks.
* Strong communication skills, confident in advising, questioning, challenging, and managing expectations.
* Excellent written and proofreading skills.
* An analytical mindset to analyze information and develop solutions.
* Experience working collaboratively within a team, adaptable to others' preferences.
* Experience working under pressure and maintaining resilience.
* Open-mindedness, challenging the status quo, and leveraging technology for efficiency.
