Receptionist/Finance Support
Report to Finance Manager Milk and Operations
JOB PURPOSE
To be the face of the Company and meet and greet visitors to the dairy in a warm and friendly manner, this role also supports the finance function in a variety of matters. The role may also take on various supporting tasks for other areas of the business as required.
CONTEXT
The post holder, reporting to the Finance Manager Milk and Operations, will be responsible for:-
Reception
Meeting and Greeting customers and visitors to the dairy
Organising meeting rooms and lunches as required for business meetings
Answering the main switchboard and dealing with any calls as necessary
Monitoring and dealing with emails that come into the enquiries email address
Ordering of Stationary for the company
Finance
Liaising with all Senior Managers of the business to make sure that all TMS queries have been dealt with in a timely fashion (this includes working with Accountant of the business)
Production of KPIs in relation to TMS (overtime/sickness metrics)
Raising of PO for Finance/Commercial/NPD/MD & Milk Procurement as necessary
GRN products/services in when received
Provide back-up for other finance roles within the business
Other adhoc duties as and when required

Success Criteria / KPIs All visitors sign into the self-sign in screen and feel welcomed to the site
All meetings rooms are booked as necessary and lunches are arranged before the day
All emails are dealt with within 24 hours and no repeat emails sent from customers etc
All calls to the business are handled and dealt with in a professional manner and no SMT get cold calls transferred to them unless agreed
Making sure that at all times we have sufficient stock of stationary so that when an employee needs stationary we have enough on hand
Making sure that ALL TMS queries are dealt with in the week or the first few
KPI report is issued on a weekly basis with all information relevant to this role completed in a timely and accurate fashion days of the following week so that accurate metrics can be calculated
PO are raised and signed off within 24 hours of the Senior Manager asking for this to be done
All services/products are booked in within 24 hours of the product being received or the service work being completed
Post is organized daily and gets to the right area of the business efficiently and confidentially
Agreed with each request
FURTHER AREAS OF ACHIEVEMENT Assist the Finance Team in other areas of the business as directed by either the Financial Managers or Finance Director of the business
Work within the framework of CDLs core values, including continuous improvement of the role
In common with all other members of staff, adherence to Companys policies and procedures including food safety, Health and Safety, hygiene and good housekeeping
Additional duties as may be required as part of the role
Willingness and desire to attend training courses to improve personal performance/ability.
KNOWLEDGE, SKILLS & EXPERIENCE
What skills, qualifications and experience are necessary for full and effective performance?
Microsoft offices skills are a necessity for this role inc. but not limited to Word and Excel
Ability to use accounting packages and or TMS systems would be desired
Prior experience of being the face of a company would be desirable but not essential just the understanding of what is required
Ability to communicate effectively and articulately in English language

Person needs to be a self-starter and be able to manage their own work load as necessary
