What we need Experience in an administration role. Strong organisational and time management skills. Ability to work independently and as part of a team. High attention to detail and accuracy in documentation. Excellent written and verbal communication skills. Flexible approach to covering duties across multiple departments. Job Description Based at our London Branch in Millman Street, the Works Department Administrator will play a key role in supporting the administration requirements of the Works Departments across our London and Coventry Branches, as well as the wider administration team within the Works Department. This position ensures the efficient running of daily operations, provides reliable cover across multiple teams and delivers accurate outcomes to uphold high standards of service. The role requires strong collaboration and communication skills to foster effective teamwork across departments. Responsibilities Reception Duties (as required): Answer calls, greet visitors, and manage incoming/outgoing post. Credit Card & Expenses: Review company credit card payments, track expenses, and complete Directors’ expense returns. Site Folder Preparation: Print and compile site folders for projects. Material Orders: Assist Project Managers by placing material orders using the company credit card. General stock management of office stationery and site items, including Health & Safety at Work posters and PPE. O&M Files: Responsible for issuing O&M files for the London office only. Enquiries Department Coverage: Provide administrative coverage for the Enquiries Administrator every Thursday. Holiday Cover: Support the Enquiries Administrator, Building Services and Works Departments Operations Administrator during periods of increased work volume or annual leave to maintain service levels. Work collaboratively with the administration team to ensure smooth daily operations. Compliance Checks: Undertake compliance checks on legionella and fire escape procedures. Collaborate on administration team meetings by sharing updates, providing support, and contributing ideas. Support the office team by assisting with daily administrative tasks and ensuring smooth operations.
