Spire Cambridge Lea Hospital are looking to bring on a Medical Records Assistant on a Bank Contract. A Bank contract is essentially a 0-hour contract where you have the option and flexibility to take on shifts you can do which can be to cover sickness, annual leave or should the hospital require any additional staff. You are not contracted to work a certain amount of hours p/week and have the flexibility to manage this. The successful candidate will act as team member in the Medical Records department in order to contribute to the customer services processes by maintaining an efficient medical records system whereby all patient paper records are filed accurately, stored securely and can be easily retrieved and traced. You must also ensure that all patients undergoing treatment at Spire Cambridge Lea Hospital have a medical record folder with the relevant forms and documents filed in the appropriate sections, and that the up to date, complete patient record is available and accessible on the day of the patient’s admission to hospital or to clinic as appropriate.
Shifts: Monday - Friday 09:00 - 17:00
Duties & Responsibilities:
1. To ensure that all medical records are collated correctly and filed accurately and available for use as needed within the hospital environment.
2. To comply with any requests for the retrieval and delivery of records – including medico-legal requests.
3. To maintain an effective tracking system for medical records.
4. To ensure that lists for out-patient clinics are up to date and reflect current/day to day activity within the hospital clinics/admissions and are delivered to the department prior to the clinic/admission.
5. To oversee timely preparation of all records and paperwork related to an out-patient clinic ensuring that files are securely prepared and checked pre-issue.
6. To comply with all hospital policies.
7. To attend all mandatory training courses and others where required
8. To assist with requests for information from organisations outside the hospital in accordance with the Data Protection Act guidelines, including Subject Access Requests (SARs) and information sharing requests.
9. To assist in the ordering of medical records from off-site using web based ordering system and to supervise archiving of patient records in accordance with legislation.
10. Maintain on-site records in order to ensure availability for agreed timescales dependent upon patient type (. 3 months or longer as applicable to patient type).
11. Co-ordinate regular archiving to NDC ensuring all records are traceable within the electronic system (bar-coding for transfer to NDC).
What we are looking for:
12. Customer service experience.
13. Administration experience.
14. Ability to manage own workload including planning, organising, prioritising and problem solving.
15. Fully IT literate and a highly competent user of MS Office, ability to learn bespoke CRM system.
16. Excellent interpersonal and communication skills.
17. Ability to build and maintain effective working relationships, both internally and externally
18. Confident telephone manner being able to communicate with a wide range of customers.
19. The ability to work effectively as part of a team
20. High degree of accuracy, methodical and logical using a common sense approach to changing workloads
21. Innovative and proactive with an ability to work to tight deadlines
22. Ability to act with tact and discretion and appreciate the confidentiality implications when dealing with personal information.
