Job Summary
The Project Support Officer will play a key role in supporting the delivery of projects and programmes led by Community Matters. Working closely with the Business Administration Lead, this role provides essential administrative and operational support across a range of initiatives.
This role is ideal for someone with strong administrative and organisational skills, a proactive mindset, and a desire to contribute to projects that improve health and care services.
The key responsibilities overall of this role are:
Administrative and Coordination Support
* Coordinate logistics for meetings, events, and training activities (e.g. bookings, invites, agendas).
* Maintain accurate project records using established systems (SharePoint, GDrive, Teams).
* Support data entry, tracker updates, and collation of information for reports and evaluations.
* Assist with general administrative duties including inbox management and document preparation.
Stakeholder and Communication Support
* Proactively Act as the first point of contact for routine queries related to programmes.
* Support communication with stakeholders through email correspondence and meeting follow-ups.
* Assist in drafting content for newsletters, updates, and other stakeholder materials.
Project Delivery Support
* Support the day-to-day delivery of projects and programmes in line with agreed timelines.
* Help track participant progress, monitor training completion, and log milestones.
* Assist with reviewing application forms, checking documentation, and maintaining central trackers.
* Support financial processes by logging claims and liaising with the finance team.
Person Specification
* Experience of providing administrative support in a busy, multi-stakeholder environment (Essential)
* Experience of coordinating meetings or events (Essential)
* Experience with maintaining accurate records using digital platforms (Essential)
* Familiarity with Microsoft Office (Word, Excel, Outlook) and cloud-based filing systems (Essential)
* Experience in health or NHS settings (Desirable)
* Experience with funding claims or basic finance tracking (Desirable)
* Knowledge of SharePoint, GDrive, Teams, or CRM systems (Essential)
* Excellent organisational and time management skills (Essential)
* Clear and professional communication skills (verbal and written) (Essential)
* Understanding of data protection and GDPR (Essential)
