Job Summary:

Reporting to the Infrastructure Facilities Manager, the Facilities Coordinator manages daily office services such as office moves, procurement, facilities operations, security, printing, supplies, furniture, and equipment. In collaboration with the Facilities Manager, they recommend and implement system improvements and assist with ES&H and Sustainability compliance. This role does not supervise staff.


Major Responsibilities:

* Coordinate with landlords on site issues (cleaning, temperature, power outages, security badges, signage, emergencies)
* Manage office contracts and supplies (janitorial, shredding, water, maintenance, equipment)
* Oversee procurement processes, invoicing, and expense tracking
* Assist with budget management and expenditure monitoring
* Update noticeboards and SharePoint pages
* Handle emergency policies, liaise with security, oversee training (fire, first aid)
* Maintain first aid kits and AED supplies
* Review and estimate sustainability initiatives, oversee implementation
* Ensure environmental, safety, and health compliance
* Manage office assets and provide guidance to administrative staff
* Perform additional duties as assigned


Education and Experience Requirements:

* Bachelor’s degree or equivalent plus relevant experience
* Fire Safety Advisor certification
* First Aid Officer certification


Required Knowledge and Skills:

* Standards for office, facilities, and administrative services
* Industry, legislative, and regulatory standards
* Technology skills for administrative functions
* Experience with procurement and accounts payable
* Strong communication and organizational skills
* Ability to work independently and as part of a team
