Front of House & Administrative Coordinator Job Summary: We are seeking a proactive and highly organised Front of House & Administrative Coordinator to manage reception duties while providing essential administrative support across departments. This role combines front-of-house responsibilities with HR administration, diary and travel management, and coordination of office supplies and PPE systems. The ideal candidate will be a confident communicator with excellent multitasking skills and a keen eye for detail. Key Responsibilities: Front of House Duties * Greet visitors and manage incoming calls and emails professionally. * Maintain a tidy and welcoming reception area. * Handle incoming and outgoing mail and deliveries. HR & Administrative Support * Assist with onboarding documentation and HR record-keeping. * Support HR with scheduling interviews and meetings. * Maintain confidentiality of sensitive HR information. Diary & Meeting Management * Coordinate calendars and schedule meetings across departments. * Book meeting rooms and prepare agendas and materials. * Take minutes and follow up on action items. Cross-Departmental Admin Cover * Provide administrative support to various teams during peak periods or absences. * Assist with document preparation, filing, and data entry. Travel Arrangements * Organise domestic and international travel, including transport and accommodation. * Prepare travel itineraries and ensure compliance with company policies PPE & Stationery Management * Monitor and manage PPE inventory and distribution. * Order and maintain stock of office supplies and stationery. * Liaise with suppliers and ensure timely deliveries. Skills & Experience Required: * Proven experience in a front-of-house or administrative role. * Strong organizational and time management skills. * Excellent communication and interpersonal abilities. * Proficient in Microsoft Office Suite (Word, Excel, Outlook). * Experience with HR systems or travel booking platforms is a plus.
