Manager - People, Culture and Safety

Location: London N1

Reports to: MD

Full-Time or Part-time 4 days

Office-based role

Salary: £55k/year (full-time) / end of year bonus / Paid overtime

Role Overview

As our company upscales, we are looking for the right person to provide the principled and practical framework upon which our team will keep developing. Our aim is to build an efficient workforce where staff feel valued and are actively engaged in company objectives. The emphasis will be on harmonious relations between management and employees.

In addition, our new department will also include supervising H&S processes throughout the company ensuring compliance and developing best practices. Our HR and H&S departments are supported by our external partners where we outsource our documentation and operating software.

People and Culture - Key Responsibilities

Recruitment / Onboarding

• Manage the full recruitment cycle, including drafting job descriptions, posting job adverts, screening candidates, coordinating interviews, and extending offers.

• Conduct reference checks, prepare employment contracts, and ensure all necessary onboarding paperwork is completed.

• Organize and deliver onboarding sessions for new hires, ensuring they are integrated into the company smoothly.

• Complete the probationary period process

• Responsible for processing all leavers, including letter production and conducting exit interviews where appropriate

Employee Relations:

• Serve as a point of contact for employee queries.

• Manage the HR Admin inbox- responds to employee inquiries in a timely manner.

• Support managers in resolving employee relations matters, including disciplinary actions, grievances, and performance improvement plans.

• Produce letters regarding maternity, paternity, unpaid and parental leave.

• Conduct maternity leave/ Shared Parental leave meetings when required.

• Foster a positive workplace culture by promoting open communication and a supportive work environment.

Performance Management:

• Coordinate the company’s performance appraisal process, including tracking performance reviews and ensuring performance discussions are held regularly.

• Manage underperformance / disciplinary processes in conjunction with our partners, Peninsula.

• Support managers with setting objectives and managing underperformance, providing guidance on best practices and legal compliance.

• Assist with employee development plans and coordinate training and development opportunities.

Compliance and Record Keeping:

• Maintain accurate and up-to-date employee records, ensuring confidentiality and compliance with data protection laws.

• Monitor staff absence records, track holiday entitlements, and ensure sick leave is managed in line with company policy.

• Manage time sheets in readiness for payroll

HR Policies and Procedures:

• Develop and maintain HR policies and procedures in line with UK employment law and best practices.

• Maintain and update the HR information system (BrightHR), ensuring all employee data is accurate and up to date.

• Enter and communicate all employee transactions in the HR system such as pay changes, transfers and terminations.

Learning and Development:

• Work with department heads to identify training and development needs within the company.

• Organize training programs, workshops, and e-learning opportunities to support employee growth and career progression.

Employee Engagement:

• Promote and support employee engagement activities, including company events, team-building exercises, and recognition programs.

• Keep staff up to date with company policies.

• Moderate internal communications.

Safety - Key Responsibilities

• Implement all H&S recommendations and actions advised by our H&S partners Peninsula.

• Manage and maintain Halo’s internal H&S processes, paperwork, and compliance checks.

• Ensure all staff complete mandatory H&S training, including required Peninsula online modules.

• Deliver and manage the full H&S induction process for every new starter.

• Ensure staff correctly log all incidents, near misses (unplanned incidents that did not cause harm but had the potential to), and accidents on the designated portals.

• Carry out regular site walk-arounds, inspections, and risk assessments, escalating concerns appropriately.

• Support managers with safe working practices, equipment checks, and corrective actions.

• Assist with warehouse safety, manual handling practices, and safe use of technical equipment.

• Maintain accurate H&S documentation and records for audit and compliance purposes.

• Provide ongoing guidance to managers and employees on best practice, H&S behaviours and safe systems of work.

Objectives

• Communicate company strategy to employees.

• Foster a can-do attitude throughout the organisation.

• Develop a continuous improvement and learning culture in our staff.

• Foresee and prevent organisational conflicts.

• Keep our organisation fully compliant.

• Drive standards up to ISO 9001 standards.

What We’re Looking For

• Minimum of five years’ experience in managing HR in a company.

• Ability to build strong structural processes and to implement them.

• Knowledge of H&S legislation and experience in applying it.

• People skills – ability to handle sometimes confrontational situation sensitively.

• A senior manager who will fully participate in setting company strategy.

Desirable Skills

• Familiarity with Bright HR / Bright Safe

• Applied knowledge of H&S legislation.
