Position Summary
The EMEA Asset Management Specialist is responsible for establishing, implementing, and continuously improving the regional asset management system, ensuring efficient control and optimisation of company assets across multiple countries in the EMEA region. This role also supports broader Workplace and Operations initiatives, contributing to project delivery, policy alignment, and office management continuity.
Responsibilities
* Asset Lifecycle Management: Oversee the full lifecycle of all company assets (procurement requests, purchase orders, warehousing, deployment, maintenance, and transfers to disposal) ensuring accountability and minimizing loss, misuse, or idle assets.
* Regional Oversight: Maintain visibility and governance of asset operations across EMEA offices, ensuring alignment with global policies and local compliance standards.
* Asset Transfer Management: Review and approve asset transfers, replacements, and tagging updates, ensuring complete traceability and proper documentation.
* Inventory Control: Conduct regular and ad-hoc physical inventory checks across offices, coordinating reconciliation and follow-up on variances or compensation.
* Asset Ledger & Reporting: Maintain accurate asset ledgers and ensure consistency between system records, physical items, and financial accounts.
* System & Data Management: Collaborate with IT and Finance to maintain and optimize the asset management system (ERP or CMDB), ensuring data integrity and accurate reporting.
* Compliance & Audit: Support internal and external audits; ensure compliance with EMEA asset management laws, tax rules, and company policies.
* Cross-Functional Collaboration: Work closely with Procurement, Finance, IT, and Workplace teams to ensure proper asset allocation, utilization, and lifecycle optimization.
* Standard Operating Procedures: Develop and implement SOPs, process improvements, and best practices to enhance asset tracking efficiency and sustainability.
* Project Support: Assist in regional office setup, renovation, relocation, and other workplace projects by coordinating asset-related planning, logistics, and documentation.
* Policy and Communication Coordination: Assist with the creation, review, and communication of asset and workplace management policies, ensuring consistent implementation across regions.
* Stakeholder Engagement: Act as a key liaison between regional offices and HQ, supporting alignment on reporting, compliance, and operational standards.
* Office Management Backup: Provide support to Workplace Managers and Admin teams when needed, ensuring smooth daily operations and continuity during absences or peak periods.
Requirements
* Bachelor’s degree or above, preferably in Business Administration, Supply Chain, Accounting, or a related field.
* 3–5 years of relevant experience in asset management, inventory control, or financial asset tracking, ideally within a regional or multi-site environment.
* Fluent English, both written and spoken. Additional European languages are a plus.
* Experience managing EMEA or international asset portfolios is highly desirable.
* Strong analytical and reporting skills with proficiency in Excel and ERP systems (e.g., SAP, Oracle, NetSuite).
* Strong communication, organisational, and stakeholder management skills.
* Demonstrated ability to work under pressure and manage multiple priorities across regions.
* Willingness to travel within EMEA and occasionally to other global offices.
* Understanding of EMEA asset management laws, compliance requirements, and data protection regulations is an advantage.
