Offer description

We are seeking an enthusiastic individual who has good communication skills to provide clerical assistance for our nursing team on Aspull ward. You will be the first point of contact for the nurse in charge dealing appropriately with communication and task allocated. The post is 30 hours working over 7 days Monday to Sunday. One week is Tuesday, Wednesday and Friday, the next week is Tuesday, Saturday and Sunday. Hours are 08:00-18:30. There is an expectation that the successful applicant will work Monday to Friday when the other Ward Clerk is on leave. Candidates will be required to present original certificates for qualifications at interview stage and during ID checks. Please note this vacancy may close before the advertised closing date if a sufficient number of suitable applications are received. The successful candidate will:

* Be able to deal face to face on and on the telephone with a wide range of public and professional staff in a courteous and professional manner and will be able to maintain confidentiality at all times.
* Undertake clerical duties answering the telephone and to relay messages and enquiries in a timely manner.
* To work closely to support other ward coordinators.
* Make appointments and organise hospital transport.
* Run errands between departments.
* Provide effective verbal, written and electronic communications.

On-Call: Please note that senior positions (AFC band 8A or above) may be expected to participate in an on‑call rota, if the role is predominantly operational.


Duties and Responsibilities

* Provides effective verbal, written and electronic communications by receiving and passing on clear messages and seeking assistance when required.
* Answer telephones and relay messages and enquiries in a timely manner e.g. to nurse, doctors and patients.
* Acts as first point of contact for the person in charge dealing appropriately with all communications and tasks allocated, including sensitive issues.
* Work closely with and support the Co‑ordinator.
* Liaise with patients, relatives and visitors on the department providing directions and information as required. Also obtaining the appropriate support when needed from the multi‑disciplinary team.
* Maintain and photocopy records, prepare forms and make appointments as requested.
* Ensure patient’s pathway is produced and available for nursing/medical staff.
* Uses the PAS /MSS system effectively inputting data, checking the recorded personal demographic details are correct. Updating demographic details as needed.
* Liaise with the multi‑disciplinary team and assist in chasing up procedures. Request and obtain investigation reports and inform the relevant staff member the results are available.


Planning and Organisational Duties

* Use initiative to promote new ideas and to improve service in consultation with the departmental manager and team.
* Plan and organise own day‑to‑day activities to achieve duties specified and to meet departmental requirements.


Communications and Key Working Relationships

* Attend meetings as requested and report as appropriate to departmental manager and other staff members.
* To liaise with the admissions department as appropriate for this group of patients.
* Communicate with all members of the multi‑disciplinary team regarding patient care.
* To treat patients, relatives, carers and colleagues with respect and professionalism at all times.
* To assist with the timely investigation and resolution of complaints and PALS enquiries.


Responsibility for Finance

* Assist the departmental manager and deputy manager to ensure the maintenance of and cost‑effective use of all stock levels within your sphere of responsibility.
* To be aware of resources and deliver high quality, cost‑effective care.


Responsibility for Human Resources

* Participate in Individual Performance Review and staff development.
* Participate in induction and in‑service training and education of learners, nursing staff and other disciplines as appropriate.


Responsibility for Health & Safety

* To be aware of and promote good health and safety in the workplace for self, patients and colleagues.
* To ensure compliance with e‑compulsory training in moving and handling.


Responsibility for Teaching

* To participate in teaching, supervision and monitoring of new ward clerks and junior staff as directed by the departmental manager.


Qualifications

Candidates will be required to present original certificates for qualifications at interview stage and during ID checks. Employment is subject to successful completion of ID checks.
