JOB DESCRIPTION

Object of the Charity: For the public benefit, the relief of those in need by reason of disability by the provision of day activities for adults, in particular the provision of activities relating to education, leisure and work-preparation

The main purpose of the Operations Managers role will be to assist the Chief Officer to lead, develop and manage New Directions Support day opportunities. To have a hands on approach and work closely with the Assistant Operations Manager to promote high quality, meaningful and well structured sessions and to work with service users, professionals and families to ensure that individual outcomes are met.

The postholder will assist in developing, supporting and motivating team members to fulfil the responsibilities of their role and to develop their own potential, whilst working with the wider community to promote a positive image of individuals with a learning disability. Also promoting self advocacy, independence and choice for all individuals attending the service.

PRINCIPAL RESPONSIBILITIES AND DUTIES

Service Operations and Delivery

1. In conjunction with the Chief Officer, implement a broad range of day opportunities for individuals who use the service.

2. To attend annual reviews with parents, carers and service users to discuss provision, assess needs and set new outcomes.

3. To record and update set outcomes and oversee staff engagement in the process.

4. To work in partnership, and foster good relationships, with individual service users, their families and key professionals.

5. To carry out quality checks within the sessions to ensure meaningful, structured and well-planned sessions are delivered.

6. To be the first point of contact for the Support Staff and to assist them with any service issues.

7. To be prepared to use their own car to transport service users to the venues on occasion in the event of support staff car breakdowns or other unforeseen circumstances (suitably taxed and insured) .

8. To assist and support service users to have a say in their service and to support their choices.

9. To take overall responsibility to ensure anyone self-medicating does this at the

appropriate time.

Operational Oversight and Improvement

1. Drive process improvements to increase efficiency and reduce costs whilst maintaining compliance.

2. Implement operational changes that enhance service delivery and regulatory adherence.

Financial Responsibilities

1. To commit to gaining a working knowledge of financial systems, policies and procedures within the organisation to allow them to effectively manage the organisation's finances alongside the Finance Officer in the absence of the Chief Officer.

2. To work within devolved budgets and ensure that any expenditure is within agreed limits.

3. To adhere to all financial regulations.

Staffing, Recruitment and HR Support

1. Manage and enforce good recruitment practices, including DBS checks, reference verification and pre-employment screening.

2. Alongside the Chief Officer, have full involvement in the end-to-end recruitment process-from advertising roles to onboarding and induction.

3. Supervise the maintenance of staff records and mandatory training logs.

4. Support the Chief Officer to manage disciplinary procedures and staff investigations.

5. Under the guidance of the Chief Officer, to take a proactive role in leading and developing an effective staff team.

6. To provide formal supervisions to identified staff and escalate issues as needed.

7. To attend formal supervision with the Chief Officer and commit to any further training relevant to the identified role.

8. Liaise with the external HR company for advice and compliance.

Quality and Health and Safety

1. To carry out regular health and safety spot checks to ensure best safe practices are adhered to including the monitoring of any equipment and resources

2. To ensure risk assessments are developed and adhered to in relation to planned activities

Publicity

1. In conjunction with staff and service users, to use and update appropriate social-media channels on a regular basis to promote the service

2. To support staff and service users to contribute to other methods of publicising the service in a positive manner

General

1. To implement and ensure staff compliance with all organisational policies and procedures including the safeguarding of vulnerable adults

2. To carry out any other duties as may be deemed necessary to support service users, including personal care as required.

3. To participate in, and in the absence of the Chief officer, lead staff meetings

4. To carry out all other duties and projects associated within the role of the Operations Manager, as identified by the Chief officer or trustees.

Proven experience of working in health and social care services in the private, voluntary, not for profit or statutory sector. Desirable

Proven experience of designing and implementing group activities to meet individual outcomes, Ideally working with adults with a learning disability. Essential

Experience of working with individuals with a wide range of abilities within the health and social care sector. Essential

Proven experience of working to organisational policy and procedure and the ability to instruct others in this. Essential

Proven experience working in a supervisory or management capacity. Essential

Experience in working in multi-agency settings to deliver services. Desirable

Qualifications and Competences

Educated to a good general standard in English and Maths equivalent To GCSE grade C

Essential

Holding a relevant QCF Level 3 Diploma in health/social care or equivalent/higher management qualification, or committed to gaining a relevant qualification within 24 months Desirable

Competences in IT applications including spreadsheets, word processing including presentations and social media. Essential

Knowledge – Service Specific

A good working knowledge of the local learning disability sector particularly the role of modern day-opportunities services within it Essential

A good working knowledge and understanding of learning disability Essential

good-practice gained through academic study or experience, or a combination of both Essential

Delivery and measurement of individual outcomes within modern care settings Essential

Quality

Implementation of quality assurance systems Essential

Application of best practice in gaining feedback from carers, service users and professionals as part of quality assurance Essential

Demonstration of the principles of self-advocacy and user input within services Essential

Interpersonal Skills

A proven ability to work as part of an effective team and foster excellent relationships with colleagues across services Essential

A proven track record of working with, and co-ordinating effective teams to meet individual needs and outcomes Essential

Excellent communication skills (written, verbal and presentation) Essential

Health and Safety

A good working knowledge of health and safety procedure and practices, including the ability to write risk assessments. Essential

Proven experience of implementing health and safety control measures to ensure safe working practice Desirable

A good working knowledge of financial systems, policy and procedures or a commitment to take further training to gain these skills Desirable

An understanding of the financial requirements for charitable companies Desirable
