Job Summary
The GP Relations & Rota Manager is a key operational role responsible for ensuring the safe, efficient, and cost‑effective deployment of salaried and locum GPs across multiple secure sites across the UK. The post‑holder will act as the primary liaison between GPs and healthcare organisations/secure sites, building and maintaining strong relationships, ensuring smooth communication, service delivery, compliance and patient‑focused outcomes. The role requires close collaboration with the Senior Management Team—including operational leads, HR, clinical leads and other stakeholders—to ensure workforce strategies meet operational demands, regulatory requirements, patient care and organisational objectives.
Key Responsibilities
* GP Relations and Stakeholder Management
o Build and maintain strong professional relationships with all GPs across DrPA.
o Serve as the first point of contact for GP queries, feedback and concerns.
o Communicate updates and organisational changes in a timely manner.
o Monitor GP satisfaction and raise systemic issues to the Senior Management Team.
o Complete right‑to‑work checks and onboarding of new GPs, coordinating with HR and operational teams.
o Complete line‑manager responsibilities in line with policies and procedures.
o Ensure compliance, rota accuracy and reconciliation data trackers are consistently maintained and updated daily.
* Workforce Planning & Rota Scheduling
o Analyse current staffing levels, patterns and utilisation, identifying over‑ or under‑staffing risks.
o Produce detailed workforce forecasts to meet routine operations and contingency requirements.
o Model staffing requirements against operational activity, processing volumes, peak periods and special operations.
o Develop workforce scenarios to support strategic planning and business continuity.
o Design, maintain and optimise rotas and shift patterns to ensure GP coverage and operational efficiency across all sites.
o Ensure adequate coverage for clinics, on‑call duties and emergency needs.
o Balance GP availability with service demand, cost‑effectiveness, compliance and contractual obligations.
o Track and report on rota performance, identifying gaps and risks.
o Implement contingency planning for staff shortages or emergencies.
o Monitor attendance, leave, overtime and absenteeism, proposing solutions to address gaps.
o Collaborate with operational managers to balance workforce allocation with safety, security and operational priorities.
o Ensure workforce utilisation aligns with regulatory, contractual and security obligations.
o Contribute to procedure development related to workforce management, scheduling and operational effectiveness.
* Compliance & Reporting
o Maintain accurate workforce records, reporting and documentation in line with organisational policies, KPIs and management reports.
o Analyse trends in staffing, recruitment, retention and performance to inform decision‑making.
o Provide actionable insights for operational planning, cost optimisation and workforce development.
o Support operational audits, performance reviews and governance reporting through accurate data provision.
o Provide accurate workforce data and forecasts to enable compliance with Home Office, security and operational performance targets.
o Communicate workforce plans, challenges and recommendations clearly to management and staff.
o Liaise with HR, recruitment and relevant operational teams to ensure workforce readiness, development and succession planning.
* General Responsibilities

Essential Criteria
* Proven experience in workforce planning, operational planning, scheduling or resource management for multiple sites.
* Strong analytical, numerical and problem‑solving skills, with a proactive approach to contingency planning.
* Proficiency in Microsoft Office (Excel, Word, Outlook) and rota management systems.
* Excellent communication and interpersonal skills with the ability to build trust, rapport and influence at all levels.
* Ability to work independently and collaboratively in a fast‑paced operational environment.
* Ability to balance competing priorities and deliver under pressure in secure healthcare environments.
* High level of discretion and professionalism when handling sensitive information.

Pay and Working Conditions
Salary: £33,000 to £35,000 a year.
Contract: Permanent
