Reliable and adaptable, they are eager to become an integral part of a collaborative team, supporting Fee Earners to achieve outstanding results.JOB DESCRIPTION: Assist in the personal organisation of fee earners using a computerised diary and task management systemType work as dictated or requested by the fee earner(s) using BigHand digital dictation system, case manager system and Microsoft Word or other applications, as applicableCreate new clients, matters and contacts in the database with full and accurate data, in line with the company's file opening and entity creation proceduresCreate, amend and finalise documents, including formatting in accordance with in-house style, creating table of contents, updating references, outline numbering, tracked changes and producing comparison documentsMaintain the database in line with company procedures and the Data Protection ActEnsure that all typed work is accurate and proof-read before being handed to the fee earnerPrepare correspondence, documents and enclosures as applicable ready for signature/checking and ensure that all enclosures are attached to the main document ready for posting, faxing or emailingAttending team meetings and preparing minutesCommunicate in a courteous and professional manner with clients, other contacts and internal staff on the telephone and by email, relaying messages and providing assistance where possibleDiary Management - appointments and book meeting rooms, refreshments, arrange travel and accommodation, etc as requiredPrompt administration of files such as opening and closing, billing, recording undertakings, archiving, etc, as directed by the fee earnerFiling, mainly electronic (to case manager system), scanning as required and keeping it up to dateComply at all times with the company's internal proceduresComply at all times with all relevant legislation and regulations as directed by the firm (eg client confidentiality, anti-money laundering, Solicitors' Regulation Authority and The Law Society rules, Solicitors' Accounts Rules, Data Protection Act, etc)Work as part of a team when work is requested by any other fee earnerManage the Admin members of the teamPERSON SPECIFICATION:Legal Secretary or Personal Assistant experienceExcellent organisational skills and attention to detailTeam playerProactive approachExperience with case manager systemsExcellent knowledge of Microsoft WordAdvanced word processing skills (tracking, outline/multilevel numbering, tables, etc) desirableAudio typing qualification or experienceSmart appearanceProfessional and helpful mannerTo apply, please contact us, email your CV, or simply call for a confidential discussion.Maze Recruitment will never share your CV with any third party without your explicit consent.
