Main duties of the job
Weare currently recruiting for dedicated individuals to join our growing team inthe genomicscentral laboratory at St Jamess University Hospital, as Clerical Officers.
Workingclosely with colleagues at Leeds and across the wider North East and Yorkshire (NEY)region, youll be responsible for the:
* Collating and producing sendingsheets for samples tested elsewhere in the region.
* Issuing reports.
* Receptionduties - answer door and phone, take in deliveries,acceptvisitors.
* Triaging admin team email queries.
* Paperwork distribution across thevarious teams in the department.
* Uploading data files onto the bookingsystem.
* Scanning paperwork.
* Administrative tasks for the labquality management team.
The successful candidate will need to work in a fast-paced environment, completingwork at short notice and to tight deadlines. The post holder must have a goodstandard of basic education including written and spoken English. Thesuccessful candidate will need to have a good telephone manner and basiccomputer literacy. Previous experience of working in a hospital environment orbusy customer focused department would be an advantage but is not essential, asfull training will be provided.
The post holder will be required to work 37.5 hoursper week full-time and contribute to out-of-hours rotas including weekends andbank holidays as required.

Job responsibilities
JOBPURPOSE/SUMMARY
Thisrole provides a high standard of clerical service and, where necessary,reception duties to the laboratory, adhering to laboratory guidelines andpolicies.
Toundertake a range of clerical duties which include scanning all paperworkrelating to patient laboratory records, filing, and issuing of laboratoryreports using PPM+, e-mail and uploading onto WinDIP. General administrative duties will includeresponsibility for main reception and receipt of deliveries and dealing withany queries.

Thepostholder will undertake duties within the following range:
1. To be fully conversant with andadhere to standard operating procedures, policies and agreed laboratoryprocedures.
2. To promptly process patient and/orother correspondence, documentation, letters, reports etc.
3. To provide a full clerical supportservice to the laboratoryincluding organising, sorting andfiling documents and papers; dealing with incoming and outgoing paper andelectronic post as required; photocopying, distributing information by post,email,or PPM And uploading documentsonto WinDIP.
4. To greet visitors to thelaboratory,providing an efficient and courteous service, referring queries or concernsregarding patients and other visitors to the t laboratory to appropriatesenior staff.
5. Check/enter patient and /or otherdetails on the Patient Administration and other Systems.
6. To request and retrieve relevantinformation from the appropriate administration system (electronic or papersystems) as necessary.
7. Prepare documentation for processing,including inputting, photocopying or scanning.
8. Check documentation is complete andavailable when needed
9. Report and respond to any systemfaults and errors.
10. Maintain and updatepatient/departmental databases, ensuring patient and other information isaccurately recorded, prioritising within departmental guidelines andescalating unresolved situations/issues to appropriate line manager.
11. To deal with telephone and in-personqueries from patients and relatives, Trust staff and external agencies in apolite and helpful manner, observing the need for discretion and courtesy.Taking responsibility for returning any follow up calls as necessary.
12. FollowLaboratory/Trust disposal and destruction procedures of confidentialdocumentation, in line with Data Protection Act and Confidentiality.
13. Collect and deliver patient or otherdocumentation/reports around Trust when required.
14. Provide suitable cover for otherclerical staff in cases of absences, as delegated by line manager.
15. Assisting to maintain high standardsof care, including:-
- Maintain a safe workingenvironment, reporting incidents, accidents, complaints
