Job Summary
ITC is seeking a Membership & Office Administrator to join our team on a maternity cover contract. This part-time role will support the smooth day-to-day running of the organisation, supporting our members and ensuring efficient office operations.
Job Description
This role will play a key part in supporting the smooth day-to-day operations of the organisation, particularly in relation to membership processes, administration, and general office coordination.
They will act as a first point of contact for members, providing a friendly and professional service, handling enquiries and ensuring accurate information is maintained across our systems. This role is ideal for someone who is organised, proactive, and confident working independently and with a team.
ITC uses a WordPress website and Civi-CRM database to manage membership records, communications, and event bookings, and the postholder will play an important part in keeping these systems up to date.
Location: Office-based at The Albany, Deptford, London SE8 4AG
Contract: Maternity cover, minimum 9 months
Hours: Part-time, 14 hours per week (flexible days and hours)
Salary: £29,000 pro rata (£11,600)
Job Requirements
Essential
* Strong administrative and organisational skills
* Strong customer service, interpersonal and people skills
* Excellent written and verbal communication
* Strong attention to detail and accuracy
* Ability to manage and prioritise a varied workload
* Confidence in working with data and preparing reports
* Ability to pick up new IT systems quickly
* Good knowledge of Microsoft Office
Desirable
* Experience in a membership-based or non-profit organisation
* Understanding of the independent performing arts sector
* Experience working with database and/or CRM systems (e.g. Civi-CRM or similar)
* Basic finance knowledge
Job Responsibilities
* Support membership with strong customer care and relationship management
* Collaborate with the team to ensure high-quality service and member care
* Respond to membership enquiries via email and phone
* Encourage new members to join ITC and support efforts to retain existing members
* Process membership applications, assess suitability, and manage onboarding through Civi-CRM
* Coordinate membership process (new and renewals), including issuing invoices and tracking payments
* Maintain accurate member records
* Monitor membership income, reconcile payments with bank statements, and chase outstanding payments
* Liaise with the CEO on membership changes and implement agreed changes
* Supporting with the developing & delivering membership recruitment and retention plans
* Prepare reports and statistics for internal use and board meetings
* Support the organisation and delivery of online and in-person membership events
* Provide general office administration & diary coordination
