Purpose of the position
: As Personnel Logistics Coordinator you will report to our Personnel Logistics Team Lead. You will support the core business function to ensure that company and corporate objectives are met by providing efficient logistics support within the HR dept. You will be the Personnel Logistics focal point for allocated vessels and manage all aspects of personnel logistics.
How can you support us? Here below your responsibilities
:
* Mobilise and demobilise personnel from worldwide locations in a timely and cost effective manner to meet Crew Change date
* Ensure that the Department Managers, Offshore Personnel and the Personnel Logistics Team are kept updated with vessel specific mobilisation/visa procedures
* Ensure that all offshore certification is valid prior to mobilization or remobilization (eg. Passport, Seafarers ID, Offshore Survival Training Certs like BOSIET/FOET/STCW/OLF/Bidletoid/EBS/CAEBS, Medical Fitness Cert like OGUK and Saipem Medical, Yellow Fever Cert)
* Work closely with the HR Team to ensure that offshore training/medical refreshers are booked in accordance with offshore mobilisation dates
* Book and manage all travel (flights/car hires/hotels/trains) with the company Travel Management Company (TMC), ensuring Travel is arranged as per contractual and operational requirements and in line with Saipem Work Instructions
* Update the Offshore Personnel Tracker, offshore files and the HR Headcount Report to record Vessel Movements (On-Off rotational dates)
* Ensure that the Personal Details Staff List is kept up to date with crew's travel preferences and that all updates are on passed to HR for processing
* Request client specific training for offshore personnel via the Training Dept
* Be part of the On Call rota, dealing with all out of hours queries from vessels and personnel
* Cover, when needed, for members of the Personnel Logistics Team during absence periods (to include sickness)
* Become familiar with and maintain awareness of Saipem's current requirements and where applicable, the latest Industry Codes and Standards including statutory rules and regulations
What are we looking for?
Experience
: 2-3 years coordinating international travel and visa arrangements in a fast-paced Personnel Logistics Department within the ROV, Aviation, or Marine sectors of the Oil & Gas industry.
Technical skills
: Visa processes, Offshore training/certification requirements, International travel requirements & restrictions.
IT skills
: intermediate MS package
