Green Shoots Administrative Coordinator
Contract: 44 weeks per year (term time + additional weeks)
Hours: Monday – Friday, 8:15am – 4:00pm (30 minutes lunch)
Reports to: Executive School Business Manager
Salary: £24,027 FTE. Please note this salary is pro rata
Purpose of the Role
The Administrative Coordinator plays a key role in ensuring the smooth and efficient running of the school office. The postholder will act as the first point of contact for visitors, parents, and carers, while also providing administrative and organisational support to the School Business Manager and wider school team.
Key Responsibilities
Reception & Front of House
* Provide a warm, professional welcome to visitors, parents, and pupils.
* Answer and manage telephone calls, emails, and general enquiries in a timely and courteous manner.
* Manage visitor sign-in procedures, safeguarding requirements, and maintain accurate records.
* Distribute post and incoming correspondence appropriately.
Administrative Support
* Carry out routine office tasks such as photocopying, laminating, scanning, binding, and filing.
* Maintain and update school records and databases accurately.
* Support the production of reports, timetables, and staff information when required.
* Assist with the organisation of meetings, appointments, and room bookings.
Finance & Trip Support
* Support the administration of school trip bookings, including liaison with venues and providers.
* Manage parental consent forms and collect payments via the school's online system.
* Provide general finance and HR administration support to the School Business Manager.
Office & Team Support
* Maintain stock of office supplies and place orders when required.
* Assist the School Business Manager in ensuring compliance with safeguarding, GDPR, and school policies.
* Support with keeping training records updated for staff
* Provide cover and support for other members of the office team when required.
* Ensure HR files are kept up to date
Person Specification
Essential Skills & Qualities
* Excellent communication and interpersonal skills.
* Strong organisational skills with attention to detail.
* Ability to manage competing priorities in a busy office environment.
* Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable with IT systems.
* Discreet and professional, maintaining confidentiality at all times.
* A positive, flexible, and team-focused approach.
Desirable
* Previous experience in a school or educational setting.
* Experience using school information management systems (e.g. SIMS/Arbor).
* Knowledge of safeguarding and data protection requirements
* Previous experience of finance
