About the Role:
Reporting to the Chief Amazement Officer, the Event Executive plays a vital role in supporting our events team.
This flexible home and office-based position involves managing event logistics, delegate administration, travel arrangements and venue sourcing both in the UK and overseas. You'll be the central point of contact for many aspects of our events, working closely with clients, suppliers and the onsite team.
Responsibilities:
• Venue Sourcing and Management: Research and identify suitable venues, coordinate site visits, negotiate rates, and prepare client proposals showcasing multiple options. Liaise with venues and manage all venue arrangements.
• Supplier Coordination: Connect with and assist contractors and manage supplier relationships to ensure smooth collaboration.
• Delegate Management: Create delegate lists, badges, delegate packs, feedback forms and speaker materials using our company database.
• Client Communication: Build strong relationships with clients, their delegates and stakeholders to understand their event requirements and ensure their needs are met throughout the process.
• Travel and Accommodation: Arrange travel and accommodation for event attendees, speakers and team members.
• Speaker Management: Assist with speaker coordination and communication.
• Marketing and Promotion: Work with the Marketing and PR teams to promote events through various channels (e.g., social media, email marketing, website updates).
• Budget Management: Track event spending and ensure projects stay within budget.
• Administrative Support: Provide general administrative support to the events team.
• Industry Engagement: Stay up to date on venue and industry trends by attending familiarisation (FAM) trips and industry events.

Experience and Qualifications:
• Essential:
Previous administrative experience
• Desirable:
Background in event planning or venue sourcing
Understanding of national and international geography
A desire to support our sustainable events policy
An interest in sustainable event practices
