Our client is one of the leading financial institutions in the region, due to its robust, integrated and diversified model structured around three key operating divisions. They operate out of a corporate office in central, and are hiring a Facilities Administrator to join their high-performing Facilities team on a permanent basis.
Your new role
As a Facilities administrator, you will be required to be able to work the below in full:
1. Assist in the preparation, monitoring and reconciliation of service charge budget
2. Check and approve expenditure against service charge budgets
3. Provide best in class customer service to an internal and external customer base
4. Maintain regular and effectivemunication with Clients and occupiers
5. Maintain regular and effectivemunication with internal colleagues in Property Management, support functions and the wider Real Estate business
6. Monitor works, audit and inspect services provided by suppliers
7. Assist the Managers in measuring and reporting supplier performance against agreed SLAs
8. Procure goods and services for the estate, following procedures and policies
9. Contribute to the preparation of management reports for a variety of stakeholders and attend management meetings are required
10. Undertake regular building inspections,plete reports and progress any required works
11. Assist Corporate Facilities & Health & Safety Manager to manage local environmental activities in order to meet statutory obligations and achieve/retain industry standards ISO14001 for the estate (working with sustainability team)
12. Ensure security and emergency procedures are robust and adhered to at all times, taking an active role in the event of an emergency situation
What you'll need to succeed
13. Previous experience in a similar role
14. Excellent English language skills – both written and spoken
15. Good health and safety and environmental knowledge
16. Basic understanding ofmercial leases and the landlord and tenant relationship
17. Basic understanding of service charge budgets and accounting principles
18. Basic mechanical and electrical services knowledge
19. IT literate – MS Office at intermediate level and other relevant software ( Meridian, Proactis, Websters, Tramps) at a level to undertake the role satisfactorily
