Job Description: Supporter Care Executive
Reporting to: Office Manager
Salary: £23-26,000 depending on experience
Hours: Full time, 35 hours per week
Holidays: 25 days plus 10 bank holidays
Location: Paisley (occasionally other locations in Glasgow)
Role Overview
The Supporter Care Executive handles donation processing, data entry, donor care, and administration. Responsibilities include answering enquiries via email, phone, and in person, and developing supporter relationships to maximize long-term support for Glasgow Children’s Hospital Charity.
Key Responsibilities
1. Respond to donor enquiries courteously and professionally, directing them to relevant staff when needed.
2. Create fundraising actions and signpost to other departments within agreed timelines.
3. Accept donations via mail, phone, and in person, including representing the charity at cheque presentations.
4. Accurately enter donation data in line with auditable processes and thank donors promptly.
5. Bank donations efficiently, adhering to financial systems.
6. Issue invoices as required and maintain donor records in compliance with data protection laws.
7. Stay updated on evolving donation methods and support the implementation of new platforms.
8. Assist with other administrative tasks as directed by the Head of Operations and Office Manager.
Administrative and Supporter Engagement
1. Provide excellent care to all donors and support office volunteers.
2. Support supporter journeys and engagement events to cultivate new and existing donors.
3. Identify and build relationships with key supporters to encourage future fundraising.
4. Engage with online contacts within 3-5 working days and share supporter stories with the Marketing and Fundraising Teams.
5. Collaborate with other departments during busy periods and support fundraising across platforms.
6. Maintain storage and logs for fundraising materials and equipment.
7. Assist in maintaining office supplies stock levels.
Additional Responsibilities
* Uphold the charity’s vision, mission, and values.
* Pursue professional development and training needs.
* Maintain positive relationships with colleagues, NHS staff, and volunteers.
* Provide cover at other sites and for external activities as needed.
* Represent the charity at events, which may occur evenings or weekends.
* Perform any other duties as required by SMT.
Essential Criteria
* Proficient in database use, including data import, input, and query building.
* Minimum 1 year of administrative experience in a similar role.
* UK driving license.
* Experience with auditable income processing procedures.
* Knowledge of Data Protection compliance.
* Proficient in Microsoft Office Suite.
* Experience processing various payment methods, including online donations and card transactions.
* Clearance under PVG scheme; disclose any criminal convictions.
* Excellent communication skills (telephone, written, face-to-face).
Desirable Criteria
* Relevant further education in Administration.
* Experience in the charity sector.
* Familiarity with Glasgow Children’s Hospital Charity’s work.
* Experience with bulk coin banking and Raiser’s Edge database.
* Own vehicle.
