Overview

TBTS is looking for an experienced and competent individual to support the day-to-day operations of our tree surgery business. To be successful you will need to demonstrate that you can carry out a full range of administrative tasks including: managing planning permissions with local authorities, including parking suspensions; planning workflows for the tree work teams; following up on quotes sent to clients; booking work on site, liaising with clients and our working teams, preparing worksheets and following up calls with clients after completion of work.

This is an important role which is essential in managing the smooth delivery of our services to a range of customers, including internal departments, as well as our residential and commercial clients.

The successful candidate will be highly motivated, flexible and have strong experience in operations administration.


Key Responsibilities

* Managing permissions with local authorities, including parking suspensions.
* Planning workflows for teams, including preparation of daily work sheets.
* Contacting existing or prospective clients to advise that an estimator is in the area or that it is time for us to revisit for a new quote.
* Following up with clients once they have been sent a quote to check the quote received and answer questions/queries and refer to the correct department.
* Planning and preparation for major works with corporate & commercial clients e.g. housing associations, construction firms, block managers, schools etc.
* Playing an important role in the implementation of CRM and assisting with the review of IT systems.
* Calling clients after completion of work to ensure clients are satisfied with the service.
* Provide support with answering the telephone, writing quotes, and providing cover during periods of absence due to illness, holiday, and periods of high demand.
* Any other ad hoc work-related tasks, within their scope of competency, as reasonably requested by the Directors of the business.
* Ensuring all information relating to TBTS and its clients is managed confidentially and in line with relevant data and information relating to governance, legal requirements and health & safety are dealt with appropriately.
* Attending regular meetings with other team members as required – Yard Manager, Admin, Team Leaders, Directors.
* This position is remote and will require a high degree of self-discipline, self-motivation, and confidence in working without supervision.
