Job Description

We have a maternity contract opportunity for a Reprints Coordinator to join our team.

The Reprints Coordinator roles provide administrative support, coordination of daily Reprints Services activities, automated handling of requests and maintenance of standards. This role reports to the Reprints Services Manager and will support the Reprints 3rd Party partners.

This is a full time (35 hours per week) maternity contract position to Summer 2026.

This role will be hired on a balanced/hybrid working basis, with the successful candidate attending our office in Milton Park, Oxfordshire (OX14 4RN) OR London Blackfriars at least three days per week. You must have the right to live and work in the UK.

Key responsibilities

1. Providing administrative support to the Reprints Services programme and 3rd Party partners
2. Generate reports that assist in sales analysis and account management processes
3. Update vendor and/or customer databases
4. Handle mailings of new title information
5. Prepare marketing and sales materials for vendors and 3rd Parties
6. Handle customer service inquiries and troubleshoot customer service problems
7. Filing (daily) – electronic and/or hard copy
8. Gather and disseminate sales data for monthly reports
9. Support 3rd Party partners by working with internal databases to provide reporting and information on an as-needed basis
10. Data entry as necessary
11. Support in-house colleagues
12. Tasks related to pricing, negotiating and payment chasing
13. Supporting with permissions requests

Qualifications

14. Previous administrative experience
15. Strong customer service skills
16. Strong organisational and project management skills
17. Ability to multi-task and prioritise your work
18. Excellent time management skills
19. Demonstrate initiative and be self-starting
20. Flexible attitude and comfortable working with ambiguity
21. Excellent written and verbal communication skills
22. Strong presentation skills.
23. Proficiency with Word, Power Point and Excel
24. Experience with CRM software
25. Experience with SFDC
26. Understanding and implementation of copyright

Additional Information
