Document Controller
Our client are seeking a highly organised and detail-oriented Document Controller to join our dynamic team. The successful candidate will play a crucial role in managing and controlling all project-related documentation, ensuring compliance with established protocols and facilitating smooth information flow among project stakeholders.
Key Responsibilities
* Document Protocol Enforcement:
* Implement and maintain document control procedures and systems
* Ensure all project documents adhere to company standards and client requirements
* Develop and update document control processes as needed
* Train team members on document control procedures and best practices
* CDE Portal Management:
* Proficiently upload and download documents to/from Common Data Environment (CDE) portals
* Organise and maintain the structure of CDE portals for easy access and retrieval
* Ensure proper version control and document naming conventions are followed
* Manage user access and permissions within CDE portals
* Document Tracking and Transmission:
* Maintain accurate logs of all incoming and outgoing documents
* Track document revisions, approvals, and distribution
* Coordinate the timely transmission of documents to relevant parties
* Generate regular reports on document status and project progress
* Quality Control:
* Perform quality checks on all documents before distribution
* Ensure consistency in document formatting and presentation
* Identify and resolve discrepancies or errors in documentation
* Implement and maintain a robust filing system for easy retrieval and auditing
* Printing and Document Production:
* Manage the printing of drawings and various project documents
* Ensure high-quality reproduction of documents and drawings
* Coordinate with external printing services when necessary
* Maintain inventory of printing supplies and equipment
* Stakeholder Liaison:
* Act as the primary point of contact for document-related queries
* Liaise with contractors, subcontractors, and other project stakeholders
* Facilitate document exchange and communication between parties
* Resolve document-related issues and conflicts
Required Skills and Qualifications
* Minimum of 3 years of experience in document control, preferably in the construction or engineering industry
* Strong proficiency in document management software and CDE portals
* Excellent organisational and time management skills
* Keen attention to detail and high level of accuracy
* Strong communication skills, both written and verbal
* Ability to work independently and as part of a team
* Proficiency in Microsoft Office Suite (Word, Excel ect)
* Proficient in Asite, Acanex, Project Plus & Pro core (Desirable)
