Our client, a fast-paced and dynamic organisation, is a pioneer in engineering and aviation. They have offices throughout the UK and are dedicated to providing innovative solutions in air travel. They are looking for an Executive Assistant to join their Bristol team. This is an exciting opportunity for an experienced Executive Assistant to support a busy team in a company of trailblazers.
Position: Executive Assistant
Location: Bristol, Hybrid (3-4 days in the office / 1-2 days WFH)
The primary role of the Executive Assistant will be to support the Chief Operating Officer and Engineering Director. The successful candidate will be based in Bristol and work alongside a team of four PAs—two in Bristol and two in London.
Key responsibilities:
* Manage inboxes proactively, ensuring timely responses and prioritisation of actions.
* Own complex diary management, collaborating with the wider assistant team to coordinate meetings across multiple time zones.
* Prepare briefing materials and documentation for executive engagements.
* Ensure seamless meeting execution, including planning, logistics, and follow-up.
* Arrange domestic and international travel with detailed itineraries and contingency plans.
* Coordinate quarterly board meetings, including drafting agendas and managing logistics.
* Support internal and external event planning and delivery.
* Process and reconcile expenses in line with company policy.
Experience:
* Proven experience as a high-level Executive Assistant supporting senior leadership in a fast-paced environment.
* Excellent written and verbal communication skills, confident in representing senior stakeholders.
* Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
* Highly organised with the ability to manage multiple priorities and deadlines.
* Team player who collaborates effectively with colleagues.
* Positive, proactive, and solution-oriented attitude with professionalism and composure.
* Experience in tech, engineering, or consumer products companies is preferred.
* Previous EA support to multiple executives and experience in leading company events.
