Are you confident in IT skills, a good communicator and keen to work in the NHS? Can you work well as part of a team as well as manage your own workload? This is a great opportunity to join the clerical team on the Systemic Anti-Cancer Treatment (SACT) day case unit on J80.
J80 is a day case unit, treating up to 80 patients a day. The successful candidate will be fully trained to use the Patient Administration Centre (PAS) and chemocare IT systems and will receive in-house training from the booking office team. You will work alongside the small clerical team, arranging treatment appointments, corresponding with clinicians and inputting data for the Oncology and Haematology patients attending for anti-cancer treatments.
Responsibilities
* Provide co-ordination and support to the chemotherapy booking team within the Oncology Day Unit using the chemotherapy booking system (Chemocare).
* Coordinate the chemotherapy booking service, ensuring all administrative and clerical aspects are delivered to meet service needs.
* Book chemotherapy activity, contact patients, input data onto departmental databases, and produce reports as required.
* Work flexibly and communicate effectively and sensitively with patients, families, medical staff and the wider multi-disciplinary team.
* Manage own workload, provide training and ongoing support, and give inductions to new starters.
* Ensure policies are updated to enable accurate patient appointment bookings.
* Ensure adequate office equipment is available and used safely.
* Book patient appointments in line with departmental policy; communicate appointments to patients by telephone and letter; reschedule as needed and relay amendments to relevant staff and patients.
* Handle ad-hoc queries from staff and patients; provide routine non-clinical advice to patients seeking help from clinical staff where appropriate.
* Use the patient scheduling system to book or amend appointments; monitor capacity and demand and escalate concerns as required.
* Book patients into the Peripherally Inserted Central Catheter (PICC) line service when necessary.
* Ensure future appointments are booked prior to next attendance to support a seamless patient pathway.
* Manage email traffic for the chemotherapy email account, prioritising urgent requests.
Qualifications
Essential
* NVQ Level 3 or equivalent.
* Grade 4 or above in GCSE English and Maths or Level 2 Functional Skills equivalent.
* Willingness to attend relevant training courses.
Experience
* Essential: Working in large organisations; experience of working with people in a healthcare setting; experience of managing a team; experience of computerised appointment booking systems; experience of staff line management.
Desirable
* Good organisational ability; excellent interpersonal and communication skills; ability to work as part of a team; open to learning and undertaking training; flexible approach; self-motivated and able to work independently.
