Overview

Manchester University NHS Foundation Trust is seeking an Administrator/Clinic Coordinator for the Willink Paediatric Metabolic Unit at St Mary\'s Hospital. The closing date is 13 October 2025.

Internationally recognised in the field of metabolic disease, the Willink Biochemical Genetics Unit is a Regional Centre for the treatment and investigation of inborn errors of metabolism. Our group of patients have a unique care package involving many different specialties and differing treatment regimes, so it is vital that their appointments are carefully coordinated. As a clinical coordinator you will be responsible for ensuring this happens. As well as booking appointments, you will also communicate with families locally, nationally and internationally. The coordination of care of our patients is of paramount importance.

On joining the team, the successful candidate will be part of an experienced team who are committed to providing a high quality booking and scheduling service. Join us and be part of a team providing seamless and high quality patient service. The role of Clinic Coordinator requires attention to detail, organisation and prioritisation skills and the ability to use initiative. The successful candidate will have excellent communication skills, will demonstrate flexibility and will be committed to improving the patient experience. In exchange, our ongoing commitment to investing in our workforce will result in opportunities for development.

Main duties

The post holder will have responsibility for ensuring patients are seen/treated in a timely manner and in accordance with waiting list principles and relevant target dates as detailed in the Trust Access Policy.

You will be customer focused and calm under pressure, you will have good verbal and written communication skills and be able to cope with a changing/evolving environment and work systems. Computer literacy is also important, although training will be provided on our EPR system and other Trust systems required for the role.

Successful candidates will ensure that all clinics are managed to maximum capacity, escalating shortfalls in line with agreed Standard Operating Procedures (SOPs), and will ensure all clinic activity is outcome and actioned in a timely manner for reporting at the weekly PTL meeting by the Service Manager and Administration Manager.

Using the electronic patient record system known as HIVE, part of the role will be to review the patient task list and proactively manage patient pathways in line with national targets.

Alongside clinic coordination in this post you will also be expected to undertake administration tasks for the Willink laboratory team such as uploading reports, taking minutes from laboratory meetings, ordering couriers and dealing with telephone queries amongst other tasks.
