An exciting opportunity has arisen for a well-organised and resilient individual to join the Passenger Transport Services (PTS) team as an Admin Officer. The role is focused on providing efficient, effective and comprehensive administration and financial support to ensure the legal and compliant delivery of the service. The role forms an important part of managing expenditure on multi-million pound budgets within the Environment & Transport Department.
About the Role
* To process orders, payments and invoices relating to home to school transport, social care and other Highways and Transport functions
* To identify and investigate anomalies by interrogating databases and requesting further information from schools, online databases, suppliers and other teams
* To utilise database systems to accurately update records and extract data
* To communicate with suppliers, schools the Finance Service centre and other teams by phone, letter and email in order to gain the required information in the correct format
* To provide general advice and guidance to suppliers and service users in respect of services provided by the Highways and Transport department
* To be responsible for protecting and managing information securely, report breaches or suspected information breaches in line with Council policies
This role will create the opportunity to assist in the development and maintenance of business processes and to support the development of cost-effective use of Council resources.
About You
To apply for this post, you must have:
* Good standard of education including English and Mathematics at GCSE Grade A-C (or equivalent) OR demonstrable experience
* Administrative experience in various tasks including word processing, filing, photocopying, taking and relaying messages, data input and maintaining records as well as experience of financial processes such as invoicing and payments
* Demonstrable ability to use Microsoft Outlook, Excel, Access databases, Word and other Microsoft applications as well as database solutions to a high standard
* Good verbal and written communication skills as well as excellent numeracy skills and attention to detail including the ability to handle telephone calls and respond to emails in an assertive but professional manner, rather than be easily influenced
* Good organisational skills and the ability to prioritise workload
* Ability to work both unsupervised and as part of a team whilst building strong relationships
