Role Description
This is a full‑time on‑site role located in our head office in Silchester (near Reading) for a Service, Scheduling, and Warehouse Lead, reporting to the Head of Operations. The role involves taking full responsibility for all aspects of service scheduling and providing efficient and effective administrative support for all aspects of Vertec’s service and warehouse functions.
* Full responsibility for scheduling all activities for the Field Service Engineer (FSE) team
* Ensure clear, timely, accurate communication with customers and FSEs
* Ensure all follow‑up actions and visits are scheduled and completed
* Ensure efficient diary and route planning
* Ensure all spare parts etc are available as required
* Ensure all preventative maintenance schedules are adhered to
* Processing Service Reports received from Field Service Engineers and Application Specialists, including booking follow‑up visits, ordering required parts, escalation and movement of stock on accounting system
* Processing Supplier Purchase Orders for service parts and calibration of service instruments
Warehouse
* Coordination of all goods in and out of the company, to and from suppliers and customers
* Support the Financial Controller with the stock control function within the company
* Responsible for quarterly stock takes for warehouse and Field Service Engineers
* Administration of loan goods & customer repairs
* Recording and supplying packaging weight reports for the WEEE Regulations
* Responsible for general upkeep and tidiness of the store areas
* Appropriate disposal of waste
* Supervision of Warehouse Coordinator
* General administrative duties including answering telephone & email enquiries
* Health & Safety reporting support to the Head of Operations
Required Experience and Qualifications
* Minimum 3 years of experience in a similar role, with extensive experience of all aspects of scheduling field service activities, ideally in a medical/hospital environment
* Strong planning and organisational skills
* Ability to work under pressure
* Ability to manage competing priorities and resource constraints
* Ability to work independently, with a strong work ethic
* Ability to work well in a team environment
* Experience of implementation and working with ERP and CRM systems
* Excellent communication skills to interact with team members and customers effectively
* Ability to manage own time and determine priorities
* Strong problem‑solving skills
