About this opportunity
This is an exciting and unique opportunity to support the Head of Marketing & Legal Services in Group Sourcing & Supplier Management. The colleague requires extra administrative support, having recently lost her sight. The role involves assisting her as she adapts to new ways of working, including using assisted technologies like the Jaws screen reader. You'll represent the Manager and uphold her reputation. This role is ever-evolving within a fast-paced working environment so the ideal candidate will be highly adaptable, self-motivated and willing to work at pace.
Ways of Working:
You'll protect time for you and the Manager to speak and complete tasks multiple times per day (using Microsoft Teams). This includes regularly taking control of Manager’s screen and helping to complete various tasks which otherwise may be inaccessible and make the best use of Managers time.
Remote Role – expectation is that the colleague will mostly work from home with an expectation of travel to the Managers house in Fife, Scotland at least once per week. Also to mirror her travel plans into the office or to attend meetings where relevant.
What you’ll do
* Proactive diary management and planning for the manager that you support, including daily diary reviews and planning weeks/months ahead.
* Monitor the manager’s inbox, highlighting items requiring action/urgent responses. This will also involve drafting correspondence as directed by the Head of Marketing & Legal Services you support.
* Checking attendees' acceptances, new meeting requests, and sorting any clashes. Organising efficient gaps in between meetings for preparation/reading/responses.
* Engage and influence senior stakeholders, both within and outside the team. This will normally be in arranging appointments for your manager and Senior Sourcing Manager, as requested.
* Assist the broader Marketing & Legal Services team which includes the Senior Sourcing Manager as required when urgent tasks arise. (9 colleagues over various hub sites)
* Query management, including liaison with line managers and/or business areas to complete issue resolution. Proactively dealing with diary clashes and re-prioritisation of appointments without reference to your manager.
* Provide relevant support tasks e.g., travel booking, arranging meetings, taking minutes at meetings, creating and maintaining team distribution folders, assisting in the completion of expenses, and Trackers.
* Provide a range of diverse support e.g, presentation compilation, event management, research and analysis, project support.
* Take instructions from Senior Business Support Assistant to carry out work and responsibilities ensuring seamless support and efficiency on behalf of Manager.
* Proactively identifying information/changes that should be shared with the team.
* Lead on tracking and reporting Key Metrics for the team (e.g. Ariba dashboard, hybrid working, mandatory training etc). This includes generating status, reports, prompting action owners, and leading reviews at huddle sessions
Accessibility Support
* Ensuring that appointments accepted on behalf of the manager have the appropriate accessible meeting links, documents/attachments, and/or briefings in Accessible versions.
* Regular testing of systems to check accessibility for Manager.
* Creation of Accessible Packs. Preparation ahead of Managers meetings reading through and checking documents/packs are accessible and if not relay information in advance.
* Constantly building knowledge of accessibility tech to support Laura in her role using JAWS, Voiceover, Key Strokes training, M365 Accessibility features and learning Co-Pilot.
* Obtaining Accessible Versions of Mandatory Training and notifying the relevant team of dates completed for details to be updated into Workday.
Monthly Administration:
* Submit claims monthly for your role to the Department of Work & Pensions which must be done from Managers house.
* Submit invoices monthly to the Finance Team to support the payment process for your role.
What you’ll need
We're looking for an extremely well-organised, pro-active, and competent person to provide part-time administrative support to a senior colleague and their team within Marketing & Legal Services.
* Experience as a Personal Assistant, especially in working with individuals in a senior role.
* High personal integrity and comfortable in handling confidential and sensitive information
* The ability to multi-task and enjoy a fast-paced environment with changing priorities and sometimes multiple demands
* Excellent written and verbal communication with particular attention to detail
* Familiarity with Microsoft 365, including Copilot.
* Patient, friendly and happy to help – a positive attitude, enjoying collaboration with others, able to build strong relationships and deal with senior colleagues both internal and external.
* Professional, inquisitive, enthusiastic and resourceful. A tenacity to get things done and come up with solutions when problems occur. Be able to work independently but also know when to enlist the help of others. To be trustworthy and deal with confidential matters.
