We are seeking a highly organised and detail-oriented Administrator to support our Personal Injury and Clinical Negligence team. The successful candidate will play a vital role in ensuring the smooth running of the department by providing administrative support to fee earners and Legal Assistants.
What you'll be responsible for:
* Providing administrative support to fee earners and Legal Assistants in the Personal Injury and Clinical Negligence team.
* Opening, maintaining, and closing client files in line with firm procedures and regulatory requirements.
* Managing diaries, booking appointments, and coordinating meetings and appointments.
* Transcribe audio recordings and take dictation accurately and efficiently, ensuring correct grammar, punctuation, and formatting in all documents.
* Liaising with clients, experts, medical agencies, and other third parties in a professional and courteous manner.
* Drafting routine correspondence, legal documentation, and prepare court bundles.
* Filing and archiving documents accurately (physical and digital filing).
* Inputting and maintaining accurate case data on the case management system.
* Monitoring deadlines, chasing outstanding documents, and assisting with the preparation of reports.
* Ensure compliance with GDPR, SRA, and other regulatory standards.
* Supporting the billing process and assisting with disbursement tracking and cost recovery.
* Handling incoming and outgoing post and telephone queries.
* Any other reasonable duties and responsibilities as directed by your line manager or Director.
What we're looking for:
* Previous experience in an administrative or support role is preferred.
* Strong understanding of legal terminology and case progression procedures.
* Excellent organisational and time-management skills.
* High level of accuracy and attention to detail.
* Proficient in Microsoft Office (Word, Outlook, Excel) and case management systems.
* Strong communication skills, both written and verbal.
* Ability to work independently and as part of a team.
* Discretion and the ability to handle sensitive information confidentially.
