This post requires someone with knowledge and experience of working in a busy and varied environment and feels at ease working with clinical staff and children, parents and visitors attending the clinics. The post-holder will have the ability to be adaptable, initiate changes and to have a flexible and unflappable approach. The post holder should offer a strong contribution towards maintaining high standards of our service.
Responsibilities
* Provide comprehensive administrative support to a multi-disciplinary team; first point of contact for families/carers and other members of the service user’s network.
* Demonstrate sound knowledge of Microsoft Office programs including Outlook, Word and Excel; collate data and produce quarterly reports for the respective service.
* Coordinate information and provide administration support to facilitate the effective running of the Children Looked After and Youth Justice Team, including diary management.
* Reception duties, handling telephone queries from parents/carers, ensuring queries are dealt with effectively.
* Typing up minutes and clinical notes from Team meetings.
* Booking appointments and arranging room bookings for clinicians and consultants; manage waitlists; handle subject data requests; Health and Safety; Fire Warden responsibilities.
* Administrative duties such as organising and following up stationery orders and ensuring delivery and receipt of stock for the team.
* Add referrals to the Trust patient database within 24 hours of receipt; trace patient NHS details via the National Tracing System; oversee the administrative/contracting component of the Trust patient database ensuring data accuracy and timely updates, while adhering to data protection.
* Monitor and update operational data quality information; assist the team lead in collating data and producing quarterly reports for the service.
* In conjunction with the clinical team, monitor and maintain accurate waiting lists.
* Contribute to Health and Safety compliance as requested; may become Health and Safety Champion depending on service need.
* Participate in the preparation of PPI events, conferences and projects.
* Manage petty cash when required.
* Support admin trainees and temporary staff, ensuring access to ICT and relevant Trust policies.
* Contact Trust Estates and Facilities Department to report faults or works to be undertaken.
