Job overview
We are looking for an experienced receptionist / administrator to provide effective front of house service and administrative support to the teams within the Jane Atkinson Health & Wellbeing Centre. This will involve dealing with general queries from the public, either face to face, over the phone and include booking appointments.
The post holder will provide general administrative assistance to the staff teams within their clinic in order to ensure the smooth running of the clinic. This includes maintaining confidentiality and storing and maintaining medical/personal records.
Main duties of the job
1. Maintaining efficient systems for client records by creating, maintaining, filing, archiving and when necessary, locating missing notes and arranging transfer of notes between Departments as requested by clinical staff.
2. To use electronic diaries to manage & book appointments for service users and professionals within the team
3. Responsible for compiling and producing computer generated letters with minor amendments.
4. Arrange meetings and ensure rooms are booked as requested.
5. Typing of letters as required by your manager.
6. To highlight any operational concerns regarding administrative systems so that they can be reviewed.
7. To ensure a safe working environment as indicated by your manager.
8. Distribute patient satisfaction questionnaires and audits as instructed by your Manager.
9. Cover other teams/services, where necessary, which may require working on other sites.
