SUMMARY/PRIME OBJECTIVES The Legal Collections Clerk works within the Legal Collections Team in the Credit Management Department and is principally responsible for assessing debtor accounts to determine whether cases are suitable for the commencement of legal action. Once suitability is confirmed, the Clerk will initiate proceedings in strict compliance with Civil Procedure Rules, following established workflows. The role aims to maximize cash collection while minimizing litigation costs. This position involves debtor contact by letter and telephone and may require occasional attendance at court. The incumbent must be highly organized, professional, and familiar with legal and credit-related processes and PHS systems. Full and comprehensive training will be given to the successful candidate. In addition, support and supervision will be provided by the Legal Collections Manager in relation to all relevant tasks. ESSENTIAL DUTIES AND RESPONSIBILITIES Vet debtor accounts to assess suitability for legal action. Initiate legal proceedings in accordance with Civil Procedure Rules and company workflows. Negotiate payment plans and settlements with defendants where appropriate. Represent PHS at court hearings and mediation appointments. Prepare trial bundles, witness statements, statements of claimant, and other court papers. Liaise with solicitors for affidavits and other legal documentation. Enforce judgments to recover outstanding debts. Manage payments, invoices, and reconciliation of costs and interest received. Communicate effectively with courts, enforcement officers, solicitors, and legal agents. Investigate and respond to defences or disputes received. Handle inbound mail and emails from courts and defendants or their solicitors. Maintain accurate case records on Wildebeest and PHS Legal Database, including diary management and workflow compliance. Prepare correspondence to debtors or their solicitors proactively and reactively. Maintain statistical data and reporting. Perform any other reasonable duties as required. ATTRIBUTES The ideal candidate will possess: Excellent written and verbal communication skills. Strong analytical and problem-solving abilities. Proficiency in negotiation and conflict resolution. Ability to prioritise workload and manage multiple cases effectively. Confidence in interpreting and interrogating ledgers, including complex credits and debits.
