The Plant Administrator is responsible for supporting site operations through the effective management of administrative processes, production data, purchase ordering, preparation of human resource and payroll data, and reporting activities.
The role ensures accurate data flow, efficient coordination of resources, and timely communication across the plant, enabling operational teams to function effectively.
DUTIES & RESPONSIBILITIES:
Production & Inventory
1. Maintain accurate production and inventory records within SAP
2. Input daily production data and support performance reporting
3. Raise purchase orders for raw materials and coordinate deliveries
4. Liaise with suppliers to ensure timely and accurate supply
5. Input stock take data and generate associated reports
6. Manage and order site consumables and stationery
Administration, Finance & HR Support
7. Create and manage purchase orders and goods receipt processes
8. Maintain employee records including training documentation
9. Liaise with HR and Payroll to ensure accurate employee data
10. Generate reports, dashboards, and operational data analysis
General Administrative Support
11. Provide administrative support to the site team
12. Handle incoming calls and direct queries appropriately
13. Maintain and update documentation, records, and spreadsheets
14. Ensure compliance with internal administrative procedures
Customer & Logistics Coordination
15. Liaise with customers to support delivery schedules and sales invoicing
16. Ensure all logistics documentation is accurate and complete
17. Coordinate with internal teams and external partners to support on-time delivery
Competencies & Qualifications
Experience
18. – years in an administrative or operations support role
19. Experience in manufacturing, warehouse, or inventory environments preferred
Education
20. Secondary school diploma or equivalent
21. Additional administrative or business qualifications are advantageous
KEY SKILLS & Competencies
22. Strong organisational and administrative skills
23. Working knowledge of SAP or ERP systems
24. Proficient in Microsoft Excel and data handling
25. Understanding of inventory and production processes
26. Basic accounting knowledge
