About the department
The office and home of the Archbishop of York, Bishopthorpe Palace, offers the opportunity to work in unusual and pleasant surroundings on the outskirts of York. Colleagues at Bishopthorpe Palace work as a small and close-knit team and support each other at busy periods with flexibility and good humour.
What you’ll be doing
Working closely with the Operations Manager and Chief of Staff you will be responsible for a number of Bishopthorpe Palace accounts, which total in excess of £1m, including the Archbishop of York’s Official Expenses Account. Liaising closely with the Bishoprics and Cathedrals Department on financial matters and you will be confident in the creation and maintenance of excel spreadsheets for budgetary purposes and the handling of a number of accounts.
MAIN DUTIES AND RESPONSIBILITIES
1. Management of the Archbishop of York’s Office Expenses Account (OE Account) in liaison with the Operations Manager, Bishoprics and Cathedrals Department and Church Commissioners Finance Department:
1. Administration and day-to-day running of OE Account
o Day-to-day use and oversight of the online banking system, with weekly bank reconciliations.
o Collation of purchase orders/delivery notes relating to OE expenditure.
o Accurate and timely payment of invoices and expenses, raising queries as appropriate.
o Accurate recording of all payments on a centrally created spreadsheet ensuring allocation of costs according to category and budget holder.
o Additional recording of all purchases on a locally created spreadsheet to monitor spend by supplier.
o Raising invoices, and handling and recording of incoming payments.
o Ensuring reimbursement of costs for items purchased on behalf of the Church Commissioners.
o Overseeing and recording all transactions from the petty cash element of this account.
o Reconciliation of quarterly accounts prior to submission to Bishoprics and Cathedrals Department with relevant invoice copies.
o Reconciling on a monthly basis the expenditure on office credit cards, collating receipts and background paperwork. Careful monitoring of current expenditure to ensure credit limits are not exceeded.
o Reclaiming funding from the Church Commissioners in respects of items purchased and local reactive maintenance expenditure in conjunction with the Palace and Events Manager.
o Preparation of quarterly accounts and cash flow accounts for the Chief of Staff and Operations Manager. Provision of these reports to the Church Commissioners Finance Department and Bishoprics and Cathedrals Department.
2. Creation and management of OE ‘local’ annual budget
o Creation of OE ‘local’ annual budget through consultation with budget managers and Operations Manager in accordance with income available.
o Liaising on an on-going basis with budget managers with respect to their predicted and unexpected expenditure, advising them where appropriate on risk areas of over-expenditure as well as under-utilised budgets.
o Keeping Operations Manager informed of any areas of concern and reporting monthly progress on OE budget.
o Maintaining and updating quarterly/annual budget reports for Chief of Staff in liaison with Operations Manager.
o Maintaining and updating quarterly/annual budget reports for Bishopthorpe managers in liaison with Operations Manager.
3. Management of the ‘Call to the North’ Account linked to the Northern Church Leaders Retreat in liaison with the Chaplain/Researcher to the Archbishop of York and their PA:
o Collation and recording of incoming payments for retreat participants.
o Accurate and timely payment of invoices, raising queries as appropriate.
o Recording of all transactions in an accurate and timely manner.
4. Management of the Northern Missioners Account in liaison with the head of the Northern Missioners team:
o Accurate and timely payment of invoices, raising queries as appropriate.
o Recording of all transactions in an accurate and timely manner.
o Reconciling on a monthly basis the expenditure on office credit cards, collating receipts and background paperwork. Careful monitoring of current expenditure to ensure credit limits are not exceeded.
5. Management of the Brewhouse budget in liaison with the Palace & Events Manager:
o Accurate and timely payment of invoices, raising queries as appropriate.
o Recording of all transactions in an accurate and timely manner.
6. Management of Archbishop of York’s Discretionary Account in close liaison with the Archbishop:
o Preparing annual accounts for audit
o Maintenance of spreadsheets for the various component parts of the account
o Recording and banking cheques.
o Making payments as authorised by the Archbishop
Liaison with the Bishopthorpe Palace appointed Bank, ensuring the signatory records are updated as appropriate, credit card facilities are maintained and bank statements are accurate and received in a timely manner. Liaising with the Operations Manager on the provision of the internet banking facilities.

Essential
Knowledge/Experience
* Experience in preparing and presenting accounts for audit
* Experience of book-keeping, accounts and budgeting
* Experience of creating and maintaining MS Excel spreadsheets, including formulae
* Experience of administrative work within a busy office
Skills & Abilities
* Excellent excel skills, good working knowledge of Word and Outlook
* Proven competence in bookkeeping
* Proven organisational ability
* Ability and readiness to undertake new responsibilities
* Confidence in making and maintaining businesslike and friendly relationships with personnel at all levels

* Qualified to AAT intermediate level
