Role Title: Event Administrator
Reporting To: General Manager
Role Purpose:
The Event Administrator is responsible for scheduling, coordinating and managing delegate communication for a variety of events – ultimately ensuring the logistics run smoothly and efficiently. This role involves reporting on profitability of events and liaising with partners and volunteers e.g. Group Chairs.
Working as part of a small team with excellent administrative, customer service, organisational and time management skills. IT literate (primarily Office 365) with a full driving licence. Social media marketing and event/training co-ordination experience and knowledge of the ITSM industry beneficial.
Employment Type: Full-time (Mon-Fri)
Salary: The salary for this position is in the range of GBP £25,000-30,000 per year based on experience.
Location:
Applicants will need to live within a sensible distance from the Bracknell office location. Whilst there may be some flexibility to work remotely, there is a requirement to spend the majority of time with the team in the office every week. The role also requires some national travel and occasional overnight stays to support event attendance and member meetings etc.
Events
* Work with relevant parties to schedule and create events in Membership platform.
* Prepare and send calendar invites and joining instructions to delegates.
* Monitor and report event registration numbers, including profit report, for events to GM, Head of Professional Services (HofPS) and Member Engagement Managers (MEM).
* Prepare online feedback forms and prepare feedback summary/reports for GM, HofPS and MEM.
* Work with Events Partner (EP) to prepare materials for in person events.
* Prepare delegate list and send to facilitator (and venue where appropriate, with dietary requirements).
* Provide MEM team with costs to support proposals for dedicated event requests.
* Maintain a record of members interested in hosting events and/or speaking/presenting based on information provided by MEM team.
* Maintain and report on KPI data.
* Occasional travel to events throughout the UK when required, i.e. annual conference, simulation events etc.
Marketing
* Collaborate with GM, HofPS and MEM team to contribute to the marketing plan/activities.
* Create events within the WordPress (.co.uk) website.
Annual Conference
* Provide administrative support for the HofPS and EP regarding logistics, conference speakers and sponsors.
* Support HofPS and Leadership Council Chair (LCC), to facilitate ‘Lunch & Lead’ session during annual conference.
* Work with LCC, GM, HofPS and MEM to plan and co-ordinate speaker line up.
* Work with LCC to prepare and distribute annual online survey – and prepare feedback summary for LCC, GM, HofPS & MEM team.
Member Groups & Communities of Practice
* Attend Monthly Group Chairs meeting.
* Support Member Group and Community of Practice Chairs with the scheduling and co-ordination of their events.
* Assist with finding speakers/venues as and where appropriate.
SM Forums
* Support HofPS with the scheduling and co-ordination of events.
* Assist with finding speakers as and where appropriate.
