Executive Assistant – 12-Month Fixed Term Contract

A leading UK law firm is seeking a highly organised and proactive Executive Assistant to support their Private Client team on a 12-month fixed-term contract. In this varied and collaborative role, you’ll work closely with Team Leaders and Regional Executive Services Managers, as well as internal support functions including Document Production, Admin Assistants, and Business Services.
You’ll have the autonomy to manage your workload effectively, but you’ll also be a key part of the team, expected to build strong working relationships across the business and align with the firm’s core values.
What You’ll Need:
* Experience working in a professional services environment, ideally supporting legal or similar professionals.
* Excellent organisation and multitasking skills, with a proactive and methodical approach to your work.
* Strong verbal and written communication skills, with outstanding attention to detail.
* The ability to manage multiple stakeholders and confidently delegate tasks to internal support teams.

Your Key Responsibilities:
* Business Development & Support: Coordinate internal and external meetings, including travel (UK and overseas), catering, and venue bookings. Assist with event planning, legal directory submissions, and client communications. Support marketing and networking activities, including updating online profiles and distributing newsletters.
* Client Service & Matter Management: Ensure exceptional client service through proactive task management and by supporting compliance processes. Manage client and matter data, including conflict checks, risk assessments, and financial reporting. Draft initial correspondence and legal documentation and maintain accurate records throughout the matter lifecycle.
* Diary & Task Management: Manage diary appointments, coordinate meeting logistics, and ensure timely preparation of papers and materials. Monitor deadlines and key dates, ensuring reminders and updates are logged accurately.
* Finance & Billing: Assist with billing and invoicing processes, liaising with the finance team and external contacts where needed. Prepare breakdowns of costs, track financial performance, and support with expense claims and purchase orders.
* Workflow & Delegation: Prioritise and manage multiple tasks and inboxes, keeping lawyers and stakeholders informed of progress. Work closely with internal support teams to ensure high standards are maintained across all outputs.
