The Role:
As a Client Care Coordinator, you will be the first point of contact for our clients — both in person and on the phone. You'll play a key role in creating a warm, welcoming environment, ensuring every pet owner feels heard, supported, and valued. You'll also manage appointment scheduling, client communication, and support the clinical team with administrative needs.
Key Responsibilities:
* Deliver an outstanding client experience from check-in to check-out
* Answer phones promptly and professionally, triaging inquiries and booking appointments
* Manage and update client records with accuracy and confidentiality
* Handle payments, invoicing, and insurance processing
* Support the coordination of daily schedules for veterinary staff
* Communicate with empathy during emotionally sensitive situations
What We're Looking For:
* Exceptional customer service and communication skills — in person, over the phone, and via email
* Ability to multitask in a busy, dynamic environment
* A calm, professional, and compassionate demeanor
* Strong organizational and time management skills
* Experience in a customer-facing role (veterinary or medical experience not needed)
* Comfortable with computers
* A genuine love for animals and a team-first attitude
