Deputy Manager
Reports to: Registered Manager & Head of Service
Role Purpose:To lead internal quality assurance, audit execution, and compliance monitoring across all services, ensuring documentation, care standards, and governance systems are robust, auditable, and aligned with commissioner and regulatory expectations.
Core Accountability
* Support the Registered Manager in maintaining high care and governance standards
* Ensure services are inspection-ready at all times
* Protect documentation integrity and audit compliance
* Identify risk trends early and escalate appropriately
Internal Audit & Quality Assurance
* Conduct scheduled internal audits across all houses
* Audit MAR charts for accuracy and compliance
* Audit care plans for completeness and alignment with outcomes
* Audit risk assessments for accuracy, review dates, and quality
* Audit daily notes for quality, clarity, and time stamping
* Audit incident reporting consistency and escalation compliance
* Audit safeguarding documentation trails
* Audit night logs and monitor disturbance trends
* Conduct spot checks on documentation quality
Compliance Monitoring
* Maintain internal compliance tracker
* Monitor review dates for care plans and risk assessments
* Track completion of audit action plans
* Ensure corrective actions are implemented and evidenced
* Monitor adherence to commissioner specifications
* Monitor compliance with organisational policies
* Identify repeat documentation failures and escalate
Documentation Standards
* Standardise templates across services
* Improve documentation consistency and clarity
* Ensure best interest decisions are properly recorded
* Ensure MCA documentation standards are met
* Ensure transfer documentation is complete and accurate
* Monitor hospital admission and discharge paperwork compliance
Safeguarding & Incident Support
* Support fact-finding during safeguarding concerns
* Collate documentation for safeguarding referrals
* Support preparation of serious incident reports
* Maintain clear audit trail of investigations
* Track outcomes of safeguarding referrals
* Escalate safeguarding risks to Registered Manager immediately
Governance Support
* Prepare compliance summaries for governance meetings
* Support Registered Manager with audit reporting
* Provide documentation for commissioner reviews
* Maintain central evidence folders for inspection readiness
* Track policy review dates and flag updates required
Practice Oversight
* Visit houses to observe documentation practice
* Identify documentation training gaps
* Provide feedback to House Leaders on quality standards
* Support improvement plans for houses below standard
Reporting Responsibilities
* Provide monthly audit summary to Registered Manager
* Report compliance risks immediately
* Escalate repeated failures in documentation or standards
* Highlight emerging quality concerns
Authority Boundaries
The Deputy – Quality & Compliance Lead does not:
* Manage rotas
* Lead recruitment processes
* Own HR disciplinary processes
* Approve safeguarding threshold decisions
* Communicate externally with commissioners independently
* Sign off regulatory notifications
* Design governance framework policy
Development Expectation
* Develop deeper understanding of governance frameworks
* Strengthen audit and inspection readiness capability
* Build advanced risk analysis skills
* Contribute to continuous quality improvement planning
Job Types: Full-time, Permanent
Pay: £29,250.00-£30,000.00 per year
