Purpose of the role

:

To assist with the effective delivery of the Workplace services, including digitisation, print and post as well as supporting with the management of the health and safety of our people and our offices.

Main duties and responsibilities:

Workplace Services

1. High volume copying, collating, binding and laminating of legal documents, printing and colouring legal plans.
2. Batch and bulk attachment printing using the relevant software.
3. Scanning documents for the purpose of emailing using internal software solutions.
4. Creating documents for internal and external issue and for presentations.
5. Ensuring all documents are quality checked and returned within customer-specified time scales.
6. Arranging printing and copying with external providers as required ensuring documents are returned within customer specified timescales.
7. Ordering stationery and stock items and ensuring all office service centres and storage areas are well-maintained.
8. Providing ‘first line’ fault finding capability on print/post room machines and all on-floor devices. Liaison with engineers where required and recording outcomes.
9. Changing of toners for all multi-functional devices and checking paper levels around the office.
10. The daily receiving-in, sorting, scanning and delivery of Royal Mail, DX, legal notices, other company mail and courier deliveries.
11. Sorting and processing of hard copy mail items, liaising with the recipients as to the action required.
12. Receipt, registering, sending and distribution of E-faxes as required.
13. Ascertaining originators of un-referenced mail by database searches and/or e-mail notifications.
14. The daily processing and despatch of all outgoing mail including special and recorded delivery items, using the online Royal Mail business account and Click and Drop software. Maintaining daily records of volumes sent out.
15. Booking and management of courier services appropriate to requirements.
16. Process requests for retrieval, distribution and collection of deeds and archives and in a timely manner.
17. Checking items sent for storage are labelled accurately and all details checked and ensuring schedule of deeds is attached when archiving deeds packets and all other items are processed at file level.
18. Production and updating of internal signage.
19. Responding to general requests and tasks (access passes, AC, maintenance
20. Providing support with general office administration.
21. Assisting with meeting room changes.
22. To undertake other duties as reasonably requested by the Workplace Manager or Office Coordinator.

Health, Safety and Environment

23. Ensuring that general office housekeeping standards are consistently met, tidying up and moving any items that create hazards as well as clearing away any delivered items promptly.
24. Assisting with and completing floor walks and inspections and helping to identify and resolve issues.
25. Reporting and recording of accidents and near misses.
26. Monitoring the correct use of waste and recycling facilities, highlighting any issues to the Office Coordinator or Workplace Manager.
27. Participating in fire evacuation/emergency procedures as a fire warden.
28. Adhering to all set protocols, policies and procedures.
29. Participation in other safety, business resilience and environmental related tasks as requested by the Workplace Manager.

Technology, Innovation and Reporting

30. Monitoring of office functions, identifying opportunities for improvement and reporting any faults.
31. Use of Billback cost recovery system for all reprographics tasks.
32. Use of CAFM system ensuring service, responding to Helpdesk queries ensuring calls are closed out satisfactorily.

Candidate Overview:

We are looking for candidates who ideally hold the following skills and experience:

33. Relevant experience of working in a Facilities department or within a similar professional services environment
34. Experienced in a customer service environment and highly customer-focused
35. Basic front of house experience would be beneficial
36. Experience of using reprographics equipment and associated IT software
37. Excellent IT skills to include all MS Office packages
38. Ability to work both as part of a team and unsupervised
39. Strong communication and interpersonal skills, both written and spoken
40. Ability to work under pressure, prioritise workload and to meet strict deadlines
41. Diligent and methodical approach to all aspects of work with a keen eye for detail
42. Educated to GCSE or equivalent, including maths and English
43. IOSH Managing Safely qualification desirable but not a must as training can be provided
