Job overview

** THIS POSITION IS ONLY OPEN TO CURRENT UNIVERSITY HOSPITALS NHS FOUNDATION TRUST EMPLOYEES **

To work within the nurses’ station, within the clinical area alongside all clinical staff and patients. To provide a comprehensive and efficient operational and clerical service to the A&E co-ordinator and emergency care team, ensuring all work is prioritised according to the demands of the department. This will include aiding inclusive of communication, target and performance adherence, quality data capture and assisting in positive flow-through. The Flow Coordinator will contribute to the smooth and efficient running of the department. Operations Assistant October 2015 2 The post holder will work under the supervision of the A&E co-ordinator/Shift Leader and management from the Administration Manger for the Acute Floor. The Flow Coordinator will be responsible for managing their own workload in conjunction with demands from varying members of the Emergency Care MDT. The Flow Coordinator will contribute to the smooth and efficient running of the Department. Acute floor knowledge is essential to this role.


Main duties of the job

· Often attend to the bereaved or distressed. This may include but is not exhaustive to comforting both relatives and patients following traumas or medical emergencies, caring for individuals who have been immediately affected by death of a loved one, communicating with and tending to individuals who are confused, intoxicated or abusive.

· Required to work flexible shifts, weekends, and unsociable hours, at times asked to stay on past shift if department is under pressure.

· Communicate and work within a stressful, time-conscious environment with high potential for abuse or being witness to harrowing and distressing sights.

· Will be expected to work at speed with a high level of accuracy. This includes patient contact, manual handling, manipulating heavy equipment and transferring patients and equipment.

· Must be prepared to work effectively whilst being exposed to frequent highly distressing or highly emotional circumstances. Daily exposed to highly distressing and emotional circumstances such as dealing with relatives of deceased patients, paediatric death and trauma.

Detailed job description and main responsibilities

· Have an extensive working understanding of medical terminology to enter data into the correct diagnosis sections of Symphony, the stand-alone A&E IT system. This includes understanding and inputting diagnoses and treatments, writing x-ray forms, pathology forms, GP letters etc.

· Maintain accurate and complete records for all patient attendances, including admitting and discharging patients on symphony where appropriate. Be able to provide reports on selected patients as required within very short time frames; thereby ensuring BSUH can demonstrate compliance with national standards and targets.

· Ability to use Symphony system to review patient information and track notes.

· Understand and read patient’s notes and diagnoses to translate this information competently onto the symphony system.

· Sound knowledge of the Emergency department processes and pathways to assist in patient flow management effectively. This would be achieved through in house and external training and development. This sound knowledge enables the post holder to use their own judgement to pre-empt next actions, from several options, for example requesting monitored beds for cardiac patients or side rooms for patients with potentially infective illnesses on behalf of the nurse coordinating the given area.

· Identify and report IT and equipment problems as per protocol, whilst providing advice and guidance to multidisciplinary team members concerning computers, computer programmes and printers. Responsible for ensuring stationery and certain other stock item supplies are maintained.

* Experience and ability to work in multi-professional teams
* knowledge of the acute floor or equivalent
* Proven organisational skills and ability to prioritise workload with interruptions and changing priorities
* knowledge of symphony
* Good Understanding of policies and proceedures
* Good telephone manner and excellent customer service skills.
