The Role As a Client Logistic Coordinator you will be providing proactive and engaging support, taking responsibility for the day-to-day administration of Onsite, Closed and Room Hire events via our booking system called Baps/PEP Main Responsibilities To support and assist the Sales Teams and Client Service Reps setting up setting up clients events meeting agreed SLA's Receive inbound and make out bound calls Working very closely with the Scheduling teams to ensure that the correct trainers are allocated to Onsite/Closed events on our system. Sending out trainer letters for onsite deliveries providing them with accurate information about the delivery i.e. client address, start and finish times of the course Agree a completion priority for each request, feeding this back to the requester Inform Sales people of cancellations/re-scheduled courses and action accordingly May be required to call the client to gain further information about the onsite or closed event Escalating requests to Director level for discount approval Working with the finance department to deal with any billing issues Liaising with third parties when kit hire is required Raise purchase orders Update spreadsheets logging bookings information. Follow correct processes to ensure bookings, cancellations and any amendments are captured within the appropriate T&C's Skills & Experience Required Excellent telephone manner and strong client focus. Clear and effective communication skills are a must. Experience in a busy administration role. Sales Support experience preferred. High standard of literacy and numeracy Ability to work independently and effectively, under pressure. Methodical and accurate with a proven ability to focus on detail. Self-motivated with initiative and drive. Proven organisational & planning skills. Has the ability to multi-task and prioritise/schedule own workload while working to tight deadlines. Displays high level of accuracy. Uses initiative in identifying and resolving complex problems and assignments. Determines when problems should be escalated to a higher level and acts promptly to make relevant parties aware. Good working knowledge of MS Office.
